The People plays a vital role in controlling who can see and interact with events. Permissions such as "View attending events" and "View in attending events" determine what a member can access based on their status in the People Section. This article explains how these permissions work and their connection to the People Section.

Key Permissions Related to the People Section

  • View attending events: Controls whether a member can see an event in their calendar. To grant access, the member must be added to the People with one of the following statuses:

    • Attending

    • Maybe Attending

    • Pending RSVP

Members with the "View all events" permission can see all events in their calendar, regardless of their status in the People .

  • View in attending events: Determines whether a member can view specific event details (e.g., the People , Schedule, Travel) for events they are attending. This permission applies individually to each section within the event.

Members with the "View in all events" permission for specific event details can see those blocks in all events, regardless of their status in the People.

How Permissions and Member Status Work Together

The member’s status in the People Section directly impacts their permissions:

  • Members with "Not Attending" status or who are not added to the People will not see the event in their calendar unless they have "View all events"permission.

  • Members must have "Attending," "Maybe Attending," or "Pending RSVP" status in the People section to access the event and any associated sections with the "View in attending events" permission, unless they have "View in all events"permission for those sections.

  • If a member is removed from the People, their ability to view the event and its details will be revoked unless they have a permission granting universal access.

iCal Feed and the People

The iCal feed reflects events based on the member’s status in the People and their personal feed settings. Here’s how it works:

  • By default, only events where a member has a status of "Attending," "Maybe Attending," or "Pending RSVP" will appear in their iCal feed. This helps avoid clutter with events they are not attending.

  • Members can customize their iCal feed to include all events, regardless of their status in the People section. This option is available in their personal feed settings.

  • Any changes to a member’s status in the People are automatically reflected in their iCal feed based on their selected settings.

Tip: To ensure events appear in all members’ iCal feeds, always include all relevant members in the People.

Members with only the permission to view attending events, will not see not attending events, regardless of their iCal preferences.

Best Practices for Managing Permissions with the People Section

Follow these tips to ensure permissions and event visibility are properly managed:

  • Set permissions based on roles: For example, give crew members access to all sections within attending events, while restricting artists to specific sections like the schedule and not the technical remarks.

  • Regularly update member statuses: Ensure members’ statuses in the People reflect their actual attendance to maintain accurate permissions and calendar feeds.

  • Use Pending RSVP wisely: This status ensures members can see the event in their calendar while awaiting their confirmation.
