Permissions on the Travel help you control who can view or edit travel details, and whether certain legs are shared publicly or only with specific people. This is especially important for sensitive or personal travel information that doesn't need to be visible to the entire crew or avoid clutter.
Overview
Each travel leg in a Travel section can be:
Publicly visible (if no passengers are assigned, handled as for everyone)
Personal (if one or more passengers are assigned)
Who can see what depends on two things:
Which permissions a user has
Whether they are assigned as a passenger
Where to Access Permissions
Permissions are set per user under each Band:
Go to your Members Page
Click on the Permissions tab on the left-hand side
Select the section and person whose permissions you want to update
Click Edit all Permissions
Travel Permissions Explained
Permissions are always split between:
All Events (the user can see this data for every event the band has)
Attending Events (the user sees this data only for events they are marked as attending)
Available permissions for Travel include:
Manage Travel sections: Create, edit, and delete travel legs
View Other Travel: See travel details for anyone else
View Personal Travel: Only see travel legs you are assigned to (or nobody assigned)
Key Visibility Rules
If no one is assigned to a travel leg, it is considered personal, and anyone with "View Other Travel" and/or "View Personal Travel" can see it.
If passengers are assigned, it becomes personal travel. Only:
Those passengers assigned
And users with View Other Travel
Can view it
If a user has no travel permissions, they will not see any travel legs (nor complete section).
Making a Travel Leg Personal
To keep a travel leg visible only to the right people:
Open the Travel block for an event
Click on a travel leg
Assign everyone who is part of or needs to know about this travel
Once someone is assigned, it becomes personal. If you want only specific people to view it, don’t assign unnecessary passengers and limit permissions as needed.
For team-wide info (like a shared van or bus), you might leave passengers unassigned.
For flights or individual arrangements, assign only relevant passengers and their information.
Regularly review permissions to keep data access appropriate.
