What happens when a waitlist is formed and a confirmed player cancels?

This feature is only available with the following products:

Q: We have a waitlist set up for an event. If a confirmed player cancels their registration, does another player automatically replace that cancelled registrant? If so, which player?​

A: The answer depends on your waitlist settings in the registration center (Event > Registration Center > Registration Setup).

The option highlighted above allows you to control your preferred behavior for waitlist promotion.

If this option is unchecked:

  • Any spots opened as a result of cancellations will be left open.

  • It’s left to the manager’s discretion to select and manually move players from the waitlist to the confirmed roster to fill these spots.

If this option is checked:

  • Any spots opened as a result of cancellations will be automatically filled with the next available player(s) on the waitlist (ordered by waitlist registration time) and credit card payments will be processed (if applicable).

  • If team registration is used and the size for the first team on the waitlist exceeds the spots available on the confirmed roster, the spots will be left open and the manager must manually select and move players from the waitlist to fill these spots.
