The import feature allows you to create a great amount of products simultaneously in your portfolio, by using a XLSX file.
Since it can be complicated to fill all the information related to your product, here’s a comprehensive and simplified guide detailing how you can proceed to upload your products using the import template, and what information is expected.
In case you want information on the whole array of fields and their matching column in the file, you can find a detailed guide here.
Getting your import started
First, you will need to download the template for the import file.
You can find it by clicking on the Import button and then on the Download button.
If needed, you can also find the template here.
The template file must be opened and edited with Excel.
One thing to keep in mind about this file, is that you don’t have to fill every single column of the document before you import it. You can fill the template partially and launch the upload without any issue. For this reason, this guide will only go over the mandatory and recommended fields.
However, to publish the product on the marketplace afterwards, you will need to take care of some mandatory fields for each product:
Product name: found under the column Product name, this is where you can provide the name of your product as text.
Product category: found under the column Categories, the expected content is the related 8-digit category code, according to GS1 Global Product Classification.
If you don’t have those codes at hand, you can either search for it on the GS1 GPC Browser, or set up the product category directly on the product pages via the portfolio after the upload.Main image: found under the column Main image, you can enter here the name of the image file you want to use to illustrate your product, including its file extension. The only valid extensions are PNG, GIF, JPG and JPEG, and the maximum size per file is 5 MB.
You will have to put those image files in a ZIP archive that you have to upload at the same time as the XLSX import file itself.
If you feel that this can be a complicated process, we suggest setting up the image directly through the product page after the upload.Audience: setting up an audience in the XLSX file can be complicated, if you want to limit your product visibility both by activity and country or continent. We suggest setting up the audience directly via the product page to be able to use the dropdown lists.
In case you want to proceed with the XLSX file, here are some tips:If you want to set-up the product’s audience as public via the file, you can enter the value “1” in the Public column.
If you want to set-up the product’s audience as Retailers only, enter the value “0” in the Public column, and the value “Retailer” in the Activity visibility 1 column.
If you want to set-up the audience according to the geographic location of your targets, you must either choose to indicate a country (by indicating a country code in the Target market country 1 column) or a continent (by indicating a continent code in the Target market continent 1 column).
For the country code list, the continent code list, and the full list of alternatives for the Activity visibility X columns, you can find the detail on this page in the Code Lists section.
In addition to the mandatory fields, we recommend filling the content of the following information:
Description: found under the column Description, this is where you can provide text to give information on your product.
Format: found under the column Format, this is where you can provide text regarding the weight of the content and the available portions.
Product claims: found under the column Product claims, this is where you can provide elements from a list of nutritional and functional claims of your product. You can find the list of available claims here in the Code Lists > Claims section.
Components and allergens: found under the column Components & allergens, this is where you can provide text detailing the composition of your product.
Country of origin: found under the column Country of origin, this is where you can provide the country code for the origin country of your product. The list of the country codes can be found here in the Code Lists > Country section.
