Using Quick Filters

What are Quick Filters?

Quick Filters are one-click shortcuts built into the Transport Orders grid that instantly surface orders requiring your attention.

Instead of building manual filters or scrolling through your full list, Quick Filters automatically group Transport Orders by a specific gap or pending action — so you can work through a focused list and clear it, one item at a time.


Why Use Quick Filters?

  • Act on what needs attention:

    • Cut through the noise and see only the Transport Orders that are incomplete or waiting on your action

  • Faster resolution:

    • Each quick filter targets a specific missing piece of information, so you always know exactly what to do next

  • Nothing slips through:

    • Missing a booking reference, a license plate, or a document can delay a shipment

    • Quick Filters make sure these gaps are visible before they become problems

  • Works alongside your Workview:

    • Quick Filters stack on top of your existing column configuration, so you keep your preferred layout while narrowing your focus


Where Are the Quick Filters?

Quick Filters appear at the top of the Transport Orders grid, above the list.

Each quick filter shows a counter badge with the number of Transport Orders currently matching that condition.


How to Activate a Quick Filters?

Click a quick filter to activate it and the grid immediately narrows to show only the Transport Orders that match.

Click it again to deactivate and return to your full list.

When a quick filter has zero matches, the counter shows 0, meaning everything in that area is in order.

Unconfirmed Orders

This quick filter shows Transport Orders that have been assigned to you but not yet acknowledged, or that contain changes that are still waiting for your confirmation.

A Transport Order appears in this filter when it meets any of the following conditions:

  • Its status is Confirm transport order

  • Its status is Confirm pre-advise

  • Its status is Confirm changes

Confirming an order acknowledges receipt and removes it from this quick filter.

If an order reappears here after you've confirmed it, it means new changes have been made by the shipper and are waiting for your review.


Missing License Plates

This quick filter shows Transport Orders where neither the Truck nor the Trailer has a license plate registered.

A Transport Order appears in this filter when both of the following conditions are true:

  • The Truck license plate field is empty

  • The Trailer license plate field is empty

An order is removed from this quick filter as soon as at least one plate — Truck or Trailer — is filled in.


Missing Driver's Info

This quick filter shows Transport Orders where no driver has been assigned yet.

A Transport Order appears in this filter when:

  • The Driver field is empty

Once a driver name is entered on the Transport Order, it drops off this quick filter automatically.


Missing Milestones

This filter shows Transport Orders where the final milestone has not been completed.

A Transport Order appears in this filter when:

  • The final milestone has no recorded actual date and time

This means the Transport Order has not yet been marked as Finished.

Once an actual timestamp is set for the final milestone, the order is removed from this quick filter.


Missing Documents

This quick filter shows Transport Orders where required documents have not been submitted or are overdue.

A Transport Order appears in this filter when its required documents status is:

  • Missing — one or more required documents have not been uploaded yet

  • Overdue — the deadline for submitting one or more required documents has passed

This quick filter works differently from the others: it applies through the required documents status tracking rather than a simple field check.

Orders with all required documents submitted on time will not appear here.


Missing Air Booking

This quick filter shows Air Transport Orders that are missing an air booking reference.

A Transport Order appears in this filter when both of the following conditions are true:

  • The Transport mode is Air

  • The Air Booking is missing

Once the Air Booking is created, the order leaves this quick filter.


Missing Ocean Booking

This filter shows ocean Transport Orders that are missing an ocean booking reference.

A Transport Order appears in this filter when both of the following conditions are true:

  • The transport mode is Ocean

  • The Ocean Booking is missing

Once the Ocean Booking is created, the order leaves this quick filter.


Best Practices

  • Start your day with Quick Filters:

    • Open the Transport Orders grid each morning and check each quick filter's counter — it gives you an instant picture of what needs your action before anything else

  • Work one filter at a time:

    • Activate a quick filter, clear every order in the list, then move to the next one — it's faster than trying to handle multiple gaps at once

  • Pay attention to Unconfirmed Orders first:

    • Orders waiting for confirmation can block downstream processes — always clear this filter before moving on to missing data filters

  • Use Quick Filters with your Workview:

    • Combine a Quick Filter with a Workview tailored to that task — for example, activate Missing Ocean Booking while using your "Ocean Bookings" Workview so you see all the relevant columns at a glance

  • Check the counter before closing your shift:

    • A counter of 0 means everything is accounted for — aim to end the day with all counters clear
