Material orders specify certain materials will be transported from collection "A" to Delivery "B"
Creating a Material Order can be done in the Material orders grid, by using the 'create Material Order" button or by using ALT+M
You can move through the order form by clicking in the fields or by using the TAB button to move to the next field
Enter the correct Division: If you only have 1 division, it will be selected automatically from the division Masterdata
Select a Customer: Upon selecting a customer, the system will auto-fill the origin location with the address linked to the customer in the customer Masterdata.
Select a service level: Service levels have certain Sales and Purchase rate logic, these can be found in the service level Masterdata
You can choose a location from the Masterdata dropdown under Origin and Destination by clicking in the "location name" field. Alternatively you can start typing your address in the address field and the system will then provide suggestions from which you can choose
The contact section allows you to fill in the contact details for this location along with collection instructions
Collection and delivery notifications can be sent to the collection and delivery email addresses if required. You can do this by activating the Send E-mail Notification button on the right side of the Material Order form. This is not required if the customer has a record in the email contact settings for collection and delivery.
Handling guidelines can be added to collection and delivery. Handling guideline documents need to be added in the Masterdata before they can be used on an order form. The handling guidelines documents will then be sent along with the customer/carrier emails and the collection and delivery emails
Activating the Roundtrip checkbox will add a round trip stop to create an ABA trip
If you don't want an extra stop to be added but you do want the trip to be billed ABA, you can create a service level that bills ABA even if the trip is AB
Order Type: Selecting an order type on Material Order allows you to link costs to Material Orders for reporting purposes. The Order Type list is maintained in the Masterdata tables.
Parts & Packaging: This grid shows an overview of the goods being transported. You can add a new line or edit/copy an existing material line.
Part: This dropdown allows you to select from a pre-defined list of parts. If nothing is selected, you can create an entirely new ad-hoc part
Weight & Dimensions: The unit and values are prefilled when selecting the Part but they can also be adjusted here on the order form
Quantity: Default quantity is always 1 but can be adjusted
Stackability & LDM: The Loading Meters of this particular part + the number of times it can be stacked
Value & Currency: The part's individual value is included in the Material Order's overall value and can be used for Insurance calculations
Properties: Specify part properties and add handling guidelines if needed
Handling guidelines: Location-specific guidelines
Clicking insert creates the new material line. If you do not click insert, the part will not be added after saving the MO
Load Details show totals of all Parts and packaging on this Material Order. Upon inserting a part, the calculations are made
Load Overrides can be used to override the load calculations made by the system.
These override values will be used on the linked TO and on all notification emails regarding this order
In the files section, you can add files to the Material Order form (bottom right), so that the users can add files ( ex: Packing list ) that can be included in the email and/or simply added to the order. The files will be added to the order and this will be visible in the main MO/SO/TO grids
If everything is to your satisfaction, you can now save the MO. If anything goes wrong, look for entry fields that are marked red. These fields are mandatory and need to have value before you can save.
You can make fields non-mandatory by using the order form settings
