1) Pre-bill
A Pre-bill is an order for a number of Transport Orders (TO) over a certain period of time. The exact content depends on the agreement between the Carrier and the Customer. There are different statuses so it's easy to follow up on the different Pre-bill.
When double-clicking on the Pre-bill, the detail pane is opened where it's possible to review the related TO's and the allocated charges or costs.
2) Approve or Reject the Pre-bill
You can confirm a Pre-bill in two ways: by confirming it in the e-mail you received or by confirming the Pre-bill in Control Tower.
2.1) E-mail
When a Pre-bill for a carrier is added, an automated e-mail is sent.
The e-mail will contain some information like the Pre-bill ID, weight, volume, and LDM if the information is available.
When you open the attachment, you're able to see more relevant details concerning the costs of the different TO's for the related billing period.
By using the Reject or Accept button, you can reject or accept the specified Pre-bill. The status of the Pre-bill is automatically updated in the Control Tower.
2.2) In the TOPS Control Tower
In the Pre-bill grid, select the correct Pre-bill grid by filtering on (for example) the Pre-bill-number, date, or status.
Right-click on the correct Pre-bill and navigate to select Approve or Reject Order.
The status of the Pre-bill will change from "Sent" to "Approved' when confirming the allocation or to the status "Rejected" when rejecting the Pre-bill.
