Spot tenders can be started based on a template, in which you can define all the settings
In the TMS, in the Masterdata roles, you can define who can/can’t access the templates. This setting allows the user to view and edit templates of all the divisions he has access to.
Once it is activated, the feature is added to the settings tables that can be found in the Admin section. Clicking it will open a new window in your browser where you can specify templates for spot tendering.
Click "Add template" in the top right corner to create a new template.
Step 1: General information
Add a name and description to your template
Select the correct Division
Step 2: Spot tender requirements
Carriers: You’re only allowed to select the carriers from the selected division. All selected carriers will receive the spot tender and are allowed to place bids.
Note: if you don’t select a carrier, all carriers will receive the spot tender
Collection Time: This feature allows you to ask the carrier for his fastest collection time or to copy the schedules from the Transport order.
Note: when the spot tender is started with the TO schedules. The spot tender can’t be started for TO's without collection schedules.
Delivery time: This feature allows you to ask the carrier for his fastest delivery time or to copy the schedules from the Transport order.

Terms & Conditions: Enable this and add a link to your T&C if you want your carrier to confirm them before being able to place a bid.
Special comment: This can be used to provide important information to your carrier. For example: hazardous goods, a certain vehicle is required or there’s a night slot.
Edit bid: Is the carrier allowed to edit his bid? Until when?
Cancel bid: Is the carrier allowed to cancel his bid? Until when?
Spot duration: Select the duration of the spot tender in min, hours, or days.
You and your carriers will see the remaining time of each spot tender.
Step 3: Price setting
Define the price format for the carrier to place bids. When the carrier is allocated, the cost will automatically be calculated and added to the transport order.
Lowest price: When enabled, carriers will see the lowest bid of their competitors and will be notified when they’re underbid
Price format: In which price format should the carrier place his bid
Distance rate
Flat rate
Rate per unit
Volume rate
Weight rate
Currency: Select the currency for the carrier to place bids. When the carrier is allocated, the cost will be calculated in this currency and will be added to the transport document.
Target price: When a carrier places a bid with the target price, the spot bid is finished and the transport order is assigned to that carrier.
Max price: Carriers are not allowed to place bids higher than the max price.
Step 4: Carrier permissions
Define the data that's visible for the carriers.
Hide/show lost, not participated and cancelled bids: Can the carrier see spot tenders in this status?
Hide/show certain Transport order data for the carrier: Which data should be hidden for the carriers? And can only be shown to the allocated carrier, when he's assigned to the transport order.
Step 5: Carrier Allocation
Define whether the cheapest carrier should automatically be assigned or if you want to allocate the carrier manually.
