What carriers can do and see in the carrier portal

Transport order grid

Hip, hip hooray, it’s your lucky day. You've won the spot tender or a shipper has assigned a transport order to you. You know this because Flo will make sure it shows up on your transport order grid. (Flo has also been known to send the odd birthday gif so make sure you watch out for party balloons and dancing flamingos). Here’s what you need to know about how to work with transport orders.


List view

Find an overview of all the transport orders that are assigned to you in this list.

Because nobody likes searching, we've added smart filters and a column that shows the required action.


Smart filters

At the top of the page, you'll see some buttons to filter the transport orders that require action:

  • Confirm order

  • Book a slot

  • Add driver info and license plates

  • Update milestones


The next required action column

It's a column that tells you what to do and allows you to do it in one click.


Configuring the gird

The transport order grid is fully customizable with our workviews feature. You can hide, show, move, and lock the columns you want. It also allows searching and filtering.


Transport order detail page

Click on a transport order to see all its details:

  • Route (milestones, slots, location name, address, instructions, contact info,…)

  • Carrier, driver and license plates

  • Additional transport order information

  • Materials and handling units

  • Costs and charges

  • Documents

In here you can also:

  • Assign a driver and license plates

  • Update milestones

  • Upload documents

  • Add costs

  • Add weight

  • ...


Updating milestones

See and update all milestones

  • Arrival

  • Activity milestone (collection and/or delivery)

  • Departure

Info: The system will ask you to add a reason code if required.


Add weight

Based on the settings in the TMS, the carrier has to update the weight on

  • Material line: each material line requires a weight update

  • Material group: all materials (cross-MO) with the same material, will be merged. One weight per group is required.

If the location has a weighing bridge (defined in the TMS location master data), the system will not show a weight input field, but a weighing reference. This reference is generated by an external system.


Add driver and license plate

This feature allows you to update the driver and license plates of the vehicle that will execute the transport order.


View materials and handling units

Carrier can see all materials and handling units in the transport order details.

This table shows the hierarchy of the packaging. Users can collapse and expand the handling units to see the underlying materials.


Charges

Based on the charges master data in the TMS (configured by the shipper), carriers are able to add flat rates, unit rates, fixed rates or percentage rates.

The system will calculate the exact cost in the correct currency, based on the information provided by the carrier.

The charges will be sent to the TMS, in status pending. When the charge is approved, the status will change to ‘approved’ or ‘rejected’.

Important to note:

  • Status approved will be displayed in the carrier portal.

  • Status rejected will disappear from the carrier portal.

  • Carriers are not allowed to add charges to canceled TO’s or TO’s in ‘ready for billing’.

When the TMS setting is enabled, the user can link the charge to an MO/customer.

Depending on the setting, this will be optional or required.


Documents

Carriers are only able to see documents with AOR type ‘visible by carrier’ or ‘externally visible’ in the TMS system.

Carriers are able to upload documents with:

  • A file

  • Description

  • Type (these types are fetched from the master data of the TMS)

Files uploaded by the carrier will have the AOR type ‘visible by carrier’ in the TMS.

Carriers aren’t able to edit a document and they are only able to delete their own documents.
