Partner Portal for end users

Overview of the Partner Portal and how to use it.

Introduction

Hello and welcome to the Partner Portal. This article is catered to users of the Portal, if you are looking to set up the Portal, click here

Note: because the portal is customizable, it is possible that some fields are extra or not shown compared to the screenshot in the article. The general structure and flow however stays the same.


Register & log in

When not logged in; you will only be able to search for orders and see a limited view of the data.

To register as a user, you should go to the URL of the Portal provided to you. From the homepage you have the option to log in or register as a new user.

If you are a first-time user, click the register button and this will bring you to the account request page. Enter your info and proceed by clicking on 'request account'

This will let the owner of the Partner Portal know of your request and they can then approve this.

When approved, you will get an email with your login credentials. Now you can proceed and log in!


Dashboard

When you log in for the first time, you will be greeted by the home screen aka Dashboard, which may look like the below. Alternatively you will simply see the homepage but then with a navigation menu bar on the left side.

On the left, we have the menu bar, where you can navigate to the order history, search bar or go back home. On the bottom left you have your personal settings where you can change your profile settings.


Creating Orders

⚠️ This might not be possible if your portal is configured for track & trace only.

Use the 'add order' in the top right corner to get started.

If your portal allows for complex order entry, then Flo will greet you and ask what kind of order you want to add.

You have 3 options:

  • One collection - One delivery

  • One collection - Multiple deliveries

  • Multiple collections - One delivery

Select one and click next step.

We'll first take a look at One collection - One delivery.


Partner

Here you select the Partner account by either using the search bar or pick one from the shown Partner accounts.

This step is only visible if you have multiple accounts available.

Click next step to proceed to the collection.


Collection

On this page you can define the pickup location, instructions, time and contacts.

Press next step to proceed to the delivery.


Delivery

Here you enter the delivery info. Same as with the collection, you also choose an existing delivery address or make a new one.

When you finish this step, we can add parts & packaging information.


Parts & Packaging

On this page, you'll be welcomed with:

Click the 'add goods' button in the top right corner to start.

This brings you to this window, where you enter the details of the goods:

When all info is provided, you click save and the goods will be added to the order.

You can add more goods if needed or you click 'next step' to go to the final step in the process.


Final step: Add the order

In the final step, additional information can be added and you can upload documents if needed. When all information is provided and you want to submit the order, click add order.

Congratulations, your order is in the system and will be processed.

ℹ️ If you are creating a transport order with a logistics company, then you may be presented with a price for your transport and the option to confirm or reject this price quotation.


Other Order Types

As previously mentioned we have 3 order types. Besides the one collection one delivery, it is also possible to have:

  • Multiple collections and one delivery location

  • One collection with multiple deliveries locations

These work exactly the same, but you can add more than one collection or more than one delivery to an order.

Let's take a look at how this works:

Just follow the same flow as before. Only on the delivery page, things are a bit different:

When choosing this type of order, you will be able to add multiple collections and one delivery.

Here the workflow is again the same, the difference here is that we are going to add multiple collection locations and one delivery location.

This time, you need to add goods per collection address.
