This guide walks you through creating a fuel surcharge schedule using flat rates (e.g., $2.00 for each $0.25 fuel price increase), linking it to an add-on charge, and applying it to your projects or orders.
Step 1: Create a Fuel Surcharge Schedule
Navigate to Administration > Rates > Fuel Surcharge Schedule and click + Add Schedule. In the Edit Fuel Surcharge Schedule dialog:
Enter a Schedule Name (e.g., "Hourly $2 Rate").
Select your Fuel Price Index (e.g., Gulf Coast (PADD 3)).
Under Rate Type, select Flat.
Click Save.
Step 2: Add Price Tiers to the Schedule
With your schedule selected, click + Add Price in the top-right corner. For each fuel price tier, enter a Price (the fuel price threshold) and a Billing Surcharge (the flat rate surcharge amount).
Here's an example of a completed schedule:
Step 3: Create an Add-On Charge Using the Schedule
Navigate to Administration > Rates > Add On Charges and click Create Add On.
In the Update Add On dialog:
Enter a Description (e.g., "FSC Hourly $2 Rate").
Set the Rate Type to Fuel Surcharge.
Select the flat rate schedule you created (e.g., "Hourly $2 Rate") under Fuel Surcharge Schedule.
Choose the applicable Add On Types (e.g., Driver Pay, Invoicing).
Click Update.
Step 4: Apply the Add-On to Projects or Orders
Open a project or order form and click the ••• button next to the rate type to include freight add-ons. flat Then select and add the fuel surcharge add-on you created.
Important: Set the Customer Rate Type to Per Hour for hourly fuel surcharges. Otherwise, the fuel surcharge won't automatically use total hours as the quantity.
Select and add the fuel surcharge add on based on the schedule with flat rates.
Step 5: How the Surcharge Appears on a Job
Each Tread job tracks Total Hours, which can be edited. The hourly fuel surcharge appears as its own line item on the Receivables tab, with the quantity equal to the total job hours.
On the Receivables tab, you'll see the fuel surcharge line item calculated automatically. In this example, 10 hours at $2.00 per hour results in a $20.00 fuel surcharge add-on:
