Creating a Driver Settlement in Tread

This guide walks you through creating a settlement for a specific driver by selecting approved invoices, configuring settlement options, and generating a settlement PDF.

Prerequisites: Invoices must be approved before they can be included in a settlement. You must have dispatcher or admin-level access in Tread.


Step 1: Navigate to Approvals > Payables

From the Tread top navigation bar, click on Approvals and then select the Payables tab. This is where all driver invoices and settlements are managed.


Step 2: Set the Date Range

Click the calendar icon next to the date range at the top of the Payables page. Select the appropriate date range for the settlement period you want to process.

You can use the quick-select buttons (Today, Tomorrow, This Week, All Dates) or manually pick start and end dates from the calendar. Click Confirm to apply.

πŸ’‘ Tip: Use "This Week" for regular weekly settlement runs, or select custom dates for specific pay periods.


Step 3: Filter by Driver

Click the Filters button to open the filter dropdown menu. Select Drivers from the filter options.

A searchable list of all drivers will appear. Type the driver's name in the search box to narrow results, then check the box next to the specific driver you want to create a settlement for. The filter tag will appear next to the Filters button confirming your selection.

πŸ’‘ Tip: You can search by partial name. For example, typing "marco" will show all drivers with that name.


Step 4: Review Filtered Invoices

After applying the driver filter, the Payables list will show only the invoices associated with the selected driver for the chosen date range.

Review the displayed orders to confirm the correct invoices are shown. Each order card displays the customer, order details, driver start/stop times, total hours, loads completed, ticket quantity, total amount, and current invoice status.

πŸ’‘ Important: Only invoices with an Approved status can be included in a settlement. If an invoice still shows as "Unapproved," it must be approved first.


Step 5: Select Invoices for Settlement

Check the checkbox on the left side of each invoice row you want to include in the settlement. You can select individual invoices within an order, or select the order-level checkbox to include all invoices under that order.

As you select invoices, a bottom bar will appear showing the count of selected invoices (e.g., "2 invoices selected") along with a green Create settlement button.

πŸ’‘ Tip: You can select invoices across multiple orders for the same driver to combine them into a single settlement.


Step 6: Create and Configure the Settlement

Click the green Create settlement button in the bottom bar. A Configure Settlement dialog will appear.

Itemize settlement by:

  • Job β€” Summarize load quantities per Truck/Driver (recommended for most standard settlements)

  • Load β€” Output all loads and ticket numbers

PDF Options β€” Line item grouping:

  • Material β€” Group line items by material type

  • Equipment Type β€” Group by equipment type

  • Service β€” Group by service type

Additional Pages:

  • All loads and ticket numbers β€” Include a detailed appendix page

Click Create to generate the settlement.


Step 7: Confirm Settlement Creation

A success notification will appear at the bottom of the screen confirming the settlement was created (e.g., "Settlement 'PAY-2741' created successfully").

The invoice statuses on the Payables page will update to show the settlement ID (e.g., "PAY-2741") instead of "Approved."


Step 8: View the Settlement

Click the Settlements tab (next to "Invoices") at the top of the Payables page to switch to the Settlements view.

The newly created settlement will appear in the list showing:

  • Created Date

  • Settlement ID

  • Driver name (For)

  • Associated Order IDs

  • Number of Jobs

  • Delivered Qty

  • Total amount

  • Status

Click the expand arrow on the left of the settlement row to view Line Items and Loads details.


Step 9: Review the Settlement PDF

Click the three-dot menu (…) or the PDF/export icon on the settlement row to generate and view the settlement PDF.

The PDF includes:

  • Company header and settlement ID

  • Driver name and associated order IDs

  • Date of creation

  • Detailed breakdown table (Date, Truck #, Equipment Type, Equipment ID, Material, IDs, Delivered Qty, Type, Rate Type, Billing Qty, Rate, Total)

  • Subtotal, Add Ons, and Total amounts

πŸ’‘ Tip: You can download or print the PDF for record-keeping or to send to the driver.


Additional Notes

  • Once a settlement is created, the associated invoices will display the settlement ID and can no longer be added to another settlement.

  • Use the Bulk Create Settlement button in the top-right corner if you need to create settlements for multiple drivers at once.

  • Settlements can be filtered by status in the Settlements tab: Pending, Approved, Done (Paid), or Void.
