Rate cards allow you to pre-set rates for specific customers, vendors, or drivers so that pricing populates automatically whenever they're assigned to a project or order. This guide walks through how rate cards work, how to create a customer rate card, and how rates apply at both the project and job levels.
What Is a Rate Card?
A rate card is attached to a specific user account — such as a customer, vendor, or internal driver. It defines the rates that will automatically populate on a project or order if no rate has been manually set at that level. Rate cards can also be applied on demand to projects or orders once certain conditions are met. For example:
Default rate cards are available across all customer options at all times.
Customer-specific rate cards will appear and can be applied only when that specific customer has been selected on a given project or order.
Creating a Customer Rate Card
To set up a rate card for a specific customer:
Go to Settings → Rates → Customer.
Select the customer you want to create a rate for (e.g., Southwest Concrete Corp.).
Click Create Rate Card and give it a name (e.g., "Southwest Rate").
Choose the rate type (e.g., Per Ton) and enter the rate amount (e.g., $20/ton).
Set as Primary Rate if you want this rate to automatically override the company default whenever that customer is selected.
Optionally, add any automatic add-ons (e.g., fuel surcharge) that should always apply when this customer is selected.
Save the rate card.
Note: Setting a rate card as the primary rate means it will take precedence over any default rate configured at the company level.
How Rate Cards Apply to Projects
When creating or editing a project:
Navigate to the Freight Rate section of the project.
Click Add Rate Card.
The company default rate will populate automatically for all customers.
If the selected customer has a customer-specific rate card set as primary, that rate card will automatically populate instead. You can switch between available rate cards at any time, or remove a rate card entirely and enter a custom rate manually.
Rate Cards at the Job Level
Rate cards can also be configured and applied at the job level. Within a project, scroll down to the job section where you can:
Select a customer rate card directly on the job.
Edit rates inline using the Edit Rate field. Keep in mind that rate card availability is criteria-based. Only rate cards that match the currently selected customer (or vendor/driver) will appear as options.
Vendor and Driver Rate Cards
Rate cards aren't limited to customers — they work the same way for vendors and drivers. If a default rate or a specific rate card has been set up for a vendor or driver, it will automatically populate in the rate field when that vendor or driver is assigned to a project or order.
