Overview
The approval workflow follows this sequence:
Approve Tickets (Loads) — Verify ticket images and details, then approve each load.
Approve Payables & Receivables — Review totals and approve line items for billing.
Create Settlements — Generate settlements for customers (receivables) and vendors/drivers (payables).
Send Settlements — Approve and email settlements to the appropriate parties.
Section 1: Approving Tickets (Loads)
Step 1 — Navigate to Approve Jobs
Go to the Approvals tab in the main navigation, then select Approve Jobs.
Step 2 — Select the Loads View
In the top-right corner of the screen, click on the default tab labeled Loads. This will display all loads under all orders for the selected date.
Step 3 — Verify and Approve Each Load
Work through the loads one by one:
Click on a load to open the Ticket Drawer.
If an image is attached, review it to verify accuracy.
If you need to rotate the image, use the rotation control on the left-hand side of the ticket drawer.
If any ticket details need to be corrected (to ensure the invoice will be accurate), make your changes in the ticket details section and click Save.
Once everything looks good, click Approve Next to approve the current load and advance to the next one.
Repeat until all loads for the day have been reviewed and approved.
Section 2: Approving Payables and Receivables
Step 4 — Switch to the Job View
After all loads are approved, switch back to the Job View by clicking the default tab labeled Order Expand.
Step 5 — Filter for Approved Loads
Apply the filter for All Approved Loads under Load Approval Status and confirm you are looking at the correct date (e.g., today's date). This will display only the jobs whose loads have been approved and are now ready for payable/receivable approval.
Step 6 — Understand the Approval Columns
You will see several columns. Focus on the middle two columns, which control payable and receivable approvals:
Job Approval (right column): This approves the entire truck assignment and all tickets/loads beneath it. You do not need to approve this column to proceed with payables and receivables.
Payables & Receivables columns (middle): These are the ones you need to approve to move forward with settlement creation.
Step 7 — Approve Payables and Receivables
Review the totals for each line item. If everything looks correct, click Approve on each row for both payables and receivables. You can also click in to the
Section 3: Creating Receivable Settlements (Customer Invoices)
Step 8 — Navigate to the Receivables Tab
Click on the Receivables tab, then filter by Approved status. Verify you are viewing the correct date.
In the Invoices tab, you will look at the date of the hauling for filtering.
Step 9 — Create the Settlement
You have two options:
Option A: Manually select the specific dispatches you want to include, then click Create Settlement.
Option B: Click Create Settlement directly, then configure:
Date Range — Select today (or the relevant date).
Customer — Choose a specific customer, or leave blank for all.
Output By — Select Load (recommended) to itemize the settlement by ticket number. Other options include grouping by truck or by driver.
Click Confirm to generate the settlement.
In Settlements tab, you will look at the date you created the settlement for filtering.
*Make sure your invoices are approved first! Otherwise the settlement creation will NOT work.
Step 10 — Review the Settlement
Navigate to the Settlements tab. You will see the newly created settlement. Below it, review all details including:
Equipment type (as set on the job)
Ticket numbers
Rate values
If you need to include additional charges, click Add an Add-On and enter the details. If an add-on was added by mistake, click Remove to delete it.

Step 11 — Approve and Email the Settlement
Click Approve on the settlement.
Click Email to send the invoice to the customer.
Click Send to confirm delivery.
Verify the email status — delivery confirmation will appear both in the status indicator and in the details section below.
Section 4: Creating Payable Settlements (Vendor/Driver Payments)
Step 12 — Navigate to the Payables Tab
Go to the Payables tab. The process mirrors the receivables workflow.
Step 13 — Create the Payable Settlement
Click Create Settlement and configure:
Date Range — Select the relevant date.
Recipient Type — Choose whether the settlement is for a Vendor (Sub-haulers, OOs) or a Driver.
Specific Recipient — Select a specific vendor or driver from the dropdown. If you leave this blank, the system will create settlements for all applicable vendors and drivers.
Output By — Select Load, then click Confirm.
Step 14 — Review, Approve, and Email
View the newly created payable settlement(s) either in the current view or by navigating to the Settlements tab.
Review all details for accuracy.
Click Approve on each settlement.
Click Email to send to the respective vendor or driver.
⚠️ Note: If the email field is not automatically populated when you click Email, this means no email address is on file for that vendor or driver. You will need to navigate to that vendor's or driver's profile and add their email address before you can send the settlement.
Section 5: Filtering and Managing Settlements
In the Settlements view, you can use filters to manage your workflow:
Approved — View all settlements that have been approved.
Unapproved — View settlements still pending approval.
