How Do I Use the Entity Timeline?

The entity timeline is where you see and manage everything that has happened on a record in Tribe. It brings together all the activities on a record, such as notes, tasks, appointments, and emails, and presents them as a series of cards. From the timeline you can read activities at a glance, open any one for more detail, filter what you see, switch between views, and create new activities. This guide explains how to use the timeline and get the most out of it day to day.

What Is the Entity Timeline?

The entity timeline appears on every record in Tribe, for example a contact, a customer, a sales opportunity, a project, a support ticket, or a work order. It shows the activities logged on that record as a series of cards, so you can see the history of your work with that record in one place.

From the timeline you can read and open activities, add notes, search and filter what you see, switch between views, and create new activities without leaving the record.

Reading an Activity Card

Each activity on the timeline is shown as a card. Every card uses the same three zones, so you always know where to look.

  1. Read the header to identify the activity. It shows the type, a status pill, and the timestamp.

  2. Read the body for the activity content, such as the subject and the key details for that type.

  3. Read the notes area at the bottom of the card to see the notes attached to the activity.

Attachments on the card appear as previews. Images appear as small thumbnails, and other files appear as file-type icons, so you can understand their content without opening the activity. Click an image or PDF thumbnail to open it in a full-screen preview.

Opening an Activity

When you add an activity with + Activity, it appears on the timeline as a card. You can open any activity straight from its card.

  1. Find the activity's card on the timeline.

  2. Click the card to open the activity.

  3. Read or edit the activity's details.

How the activity opens depends on its type. Simpler activities, such as a note or a task, open their details directly. Activities that are records in their own right, such as a sales opportunity, a project, or a work order, open their own page, so you can work with everything linked to them.

Working With Notes

Notes stay with the activity they belong to, and the timeline keeps them compact so you do not have to scroll through long threads.

  1. Enter a note in the Add a note… field on the card. This field is always visible.

  2. Read the latest three notes shown directly on the card.

  3. Click X more to open the full list of notes in the sidebar, where X is the number of remaining notes.

  4. Drag the edge of the sidebar to adjust its width for comfortable reading.

Using Section Headers and Counts

Activities on the timeline are grouped into sections, each with a clear header.

  1. Read the section header to see the section name and a live count of the items it contains.

  2. Click the section header to collapse or expand that section.

  3. Click the statistics icon on a section to open a breakdown of the activities by type.

  4. Click a type within the breakdown to filter the section to that type.

  5. Click the Note icon to hide or show all card notes at once.

Filtering the Timeline

A single filter applies to the whole timeline, so you can narrow everything you see at once.

  1. Open the filter above the timeline.

  2. Select Created by me to show only the activities you created.

  3. Select Interactions only to show only interaction activities.

  4. Select a Type to show only activities of that type.

When a filter is active, the section counts show X of Y items, so you can see how much of the timeline the filter is showing.

  1. Save your filter choices as a preference so the timeline opens with your preferred view each time.

Did you know? The statistics breakdown on a section works as a quick filter. Selecting a type there narrows the section without opening the main filter.

Switching Between Views

You can view the timeline in more than one way using the views dropdown.

  1. Open the views dropdown above the timeline.

  2. Select Timeline to see activities in the standard feed.

  3. Select List to see activities in a sortable, scannable list.

  4. Select Audit trail to see the record's audit history.

Creating an Activity

You can create a new activity directly from the timeline using the + Activity popover, which shows only the activity types that are relevant to the record you are on.

  1. Click + Activity above the timeline.

  2. Choose a type from the General column, which lists the activity types you can create on the current record.

  3. Choose a type from the Interactions column for interaction activities.

  4. Enter the details and save.

The activity then appears on the timeline as a card, ready to open, filter, or add notes to.

Using Card Actions

Each card has its own actions menu for working with that activity.

  1. Open the actions menu on a card, shown as a three-dot icon.

  2. Select the action you need.

  3. Find Delete at the end of the menu, placed after a divider.

Using search

Search your timeline for specific activity using the entity page search.

  1. Select the search icon near the last content tab.

  2. Enter the activity name or specific data.

  3. Click the desired result.

  4. The timeline redirects to the selected activity

Quick Summary

The entity timeline appears on every record and shows its activities as cards you can read, open, and act on. You can add notes, group and filter the whole timeline, and switch between the Timeline, List, and Audit trail views. Any activity you create with + Activity appears on the timeline as a card, which opens the activity's details or its own page when you click it.
