Configure the company's booking settings

Company booking settings define how the booking process works, including guest validation, marketing communication consent and additional fields for collecting customer data.

Configuring these settings correctly is essential to ensure a smooth and secure booking experience. They allow you to control how bookings are created and managed, define guest validation requirements, manage guest consent for marketing communications and capture additional customer information.

Proper configuration helps streamline operations, improve data accuracy and ensure compliance throughout the booking journey.

To access the Booking Settings, navigate to the user icon on the top right-hand side and proceed to My Company > Settings > Booking settings.


1. Guest Validation Settings

Guest validation settings determine the information required for a customer to pass the validation step on the widget before proceeding with a booking.

Important:

These settings are available only if a PMS integration is activated or the Itineraries feature is used.


Enable guest validation on widget

When enabled, a guest validation step is added on the widget, requiring customers to complete the required fields before continuing with the booking.

If the customer successfully passes validation, certain Customer Info fields will be automatically populated during checkout.

Note:

Through the guest validation flow only the Business’s customers can proceed to book a product.


Enable visitor bookings

When enabled, this feature allows visitors to skip the guest validation step on the widget and proceed directly to make a booking.

This option is intended for visitors who are not staying at the accommodation premises.

Note:

This feature can only be applied if the Enable guest validation on widget feature is also activated.

Guest property fields (availability may vary by account)

Select one field to be used during guest validation on the widget:

  • Email address

  • Last name

Only one option can be selected.


Reservation property fields (availability may vary by account)

Select one or both of the available options to be used during guest validation on the widget:

  • Reservation ID/ Trip ID: To be selected when a PMS integration is activated or if the itinerary feature is used and therefore a Trip ID is generated.

  • Room number: To be selected only when a PMS integration is activated and a room number is available.


2. Additional Booking settings

These settings control customer consent for marketing communications and acceptance of the company’s legal terms (Terms & Conditions, Terms of Service, and Privacy Policy).


Enable 'Subscribe to Marketing Communication' field on widget

When enabled, a non-mandatory consent field is displayed during the checkout step of the booking process on the widget.

Example: Newsletter subscription consent

Once activated:

  • A text field appears where you can enter custom consent wording.

  • The customer’s selection is saved in their profile.

  • This allows differentiation between customers who accepted or declined marketing communications.

Notes:

  • The inserted text will be displayed on the widget during the booking process as an optional field for customers.

  • If a PMS integration is active, the customer’s selection is automatically stored at the checkout step of the booking process.


Require customer to accept terms in Back Office

Enable this setting if customers must accept the Terms & Conditions, Terms of Service, and Privacy Policy to complete a booking.

Accepted terms are sent by email and must be confirmed within a defined time frame.

  • Timeline: Set the time frame for which the Terms & Conditions, Terms of Service and Privacy Policy will be available for confirmation before the booking is cancelled.

    Example: If the timeline is set to 1 hour and the terms are not accepted within that period, the reservation is automatically cancelled.

Note:

This process will be put into motion only for bookings created from the dashboard BOOK NOW button used for back office bookings on behalf of guests.


3. Checkout input fields

Checkout input fields allow you to collect additional customer data during the checkout stage of the booking process (e.g. passport number, preferred language, allergies).

Add checkout input fields:

  • Click Add input fields to select the desired fields.

  • Enable the mandatory option if completion is required.

  • Click Save once finished.

Notes:

  • These fields appear on the checkout step of the booking process, after the standard system fields (First Name, Last Name, Email Address, Phone Number and Nationality).

  • Data collected is customer-specific only and is stored in the customer’s guest profile (in the Customers section).

  • Checkout input fields are visible:

    • Within the booking (Bookings section).

    • In the Guest App (Profile settings).

    • In the Itinerary, under Guests (if the “Itineraries” feature is available on your account).
