How to send Alternatives

This feature allows for alternative booking options to be sent to customers in case a booking request cannot be accommodated.

Note: This functionality is not available for Transfers.

In cases a specific booking cannot be accommodated at the specific date and time or pricing option, alternatives can be sent to customers.

On the left hand side menu, navigate to Bookings.

Identify the required booking and from the Actions button (3 dots), select the option Send Alternatives.

Alternatively, an alternative option can also be sent to the customer from within the reservation/booking. In order to do so, click on the name of the product as shown below:

Then, navigate to the right hand side and click on the 3 dots.

On the window that will appear make the appropriate modifications on the Schedule or/and Price and click on Apply.

Then, set the Expiration Time (in days, hours, minutes) indicating at which specific time the option expires and the alternatives are therefore no longer available to be selected.

Click on Send Alternatives once done.

Booking Statuses

  • The status of the “original” booking automatically changes to Alternative Sent.

  • The alternative(s) sent to customer are given the status Alternative.

  • The status of the alternative option that is accepted by the customer changes to Confirmed.

  • The status of the remaining alternative(s) sent to the customer that were not accepted (or were not accepted within the specified time frame), will automatically change to Alternative Declined. The status of the “original” booking remains Alternative Sent.


Calendar

Bookings for which Alternatives have been sent are also shown on the Calendar when selecting a specific date.

Under each Alternative, there is a View option.

Below is an example of bookings on a particular date for which Alternatives have been sent - by clicking on View the various statuses can be seen:


Note: The Send Alternatives feature is also available to Suppliers so that they may send alternatives if required.
