Manage Documents & Media in a Trip

Add photos and videos to trip components, attach files, and find all your trip documents in one place.

Every trip component supports photos, videos, and file attachments through its edit drawer. The trip's left navigation also has a Documents tab that pulls everything together in one place, plus a direct upload area for trip-wide files. This article covers how each of these works.


Adding photos and videos to a component

Every trip component has a Media tab in its edit drawer with two sub-tabs: Photos and Videos.

Uploading

  1. Open the component's edit drawer and click the Media tab.

  2. Choose Photos or Videos.

  3. Upload one or more files.

All your uploaded items appear together in a grid at the bottom of the tab. Each item has a row of icons in its top right corner for managing it.

Reordering, marking Primary, and deleting

  • Reorder: drag any item using the ⋮⋮ drag handle to set its position. This is the order your client will see when scrolling through the full-screen viewer. The one exception is the Primary photo, which always appears first regardless of position in the grid.

  • Primary: click the star icon to mark one photo as Primary. Only one photo can be Primary at a time. The Primary photo is also the cover image shown on the client view itinerary card for that component.

  • Delete: click the trash icon.

Adding a caption to a photo or video

You can add a descriptive caption to any photo or video. The caption is shown on top of the item when your client views it in the full-screen viewer.

  1. Click the caption icon on the photo or video.

  2. The Image Caption dialog opens, pre-filled with the file's name.

  3. Replace it with your caption and click Save.

What your client sees

On the client view, the component's Primary photo is shown on its card. When the client clicks the photo:

  • A full-screen viewer opens

  • They can zoom in and zoom out

  • Left and right arrows let them scroll through every photo and video linked to that component

  • The order follows the order you set in the Media tab, starting with the Primary photo

  • Any captions you've added appear on top of the corresponding photo or video

Attaching files to a component

Each component has an Attachments tab in its edit drawer. Use it to attach files that belong to that specific component, like supplier confirmations, vouchers, e-tickets, or any other supporting document.

Uploading an attachment

  1. Open the component's edit drawer and click the Attachments tab.

  2. Click Upload Files at the top right.

  3. The Upload New Documents dialog opens. Fill in the fields:

    • Document Name (optional): a custom name for the file. If left blank, the filename is used.

    • Document Type: pick a category. Options are Government Forms, Terms of Service, Visa Documents, Insurance, Confirmation/Receipts, General Information, and Others.

    • Upload Attachments: drag and drop the file into the upload area, or click Select attachments to pick it from your computer. Files must be 5MB or smaller.

    • Visible to Travelers: check this to make the file visible to your client in the client portal. Leave it unchecked to keep the file private to you.

  4. Click Save.

Viewing and editing attachments

Once uploaded, your attachments appear in a table on the Attachments tab with these columns:

  • Name: the document name (or filename if no name was given)

  • Visibility: shows whether the file is visible to your traveler or kept private to you

  • Document Type: the category you chose

  • Date: when it was uploaded

  • Actions: a menu to edit or delete the attachment

To edit an attachment, click the menu and choose Edit. The Edit Attachment dialog lets you change the name, document type, and toggle the Visible to Travelers setting.

The trip's Documents tab

The trip's left navigation includes a Documents tab under the More section. This is the central library for every document related to the trip:

  • Every file attached to any component across the trip

  • Files you upload directly to the Documents tab (for trip-wide documents that don't belong to a specific component)

  • Auto-generated invoices for the trip, since an invoice covers the whole trip and isn't tied to a single component

How the table works

The Documents tab shows files in a table with these columns:

  • Name: the document name

  • Visibility: shows whether the file is visible to your traveler or restricted to advisors only

  • Related Booking: which component the file is attached to. If you uploaded the file directly to the Documents tab rather than through a component, this column shows a dash.

  • Document Type: the category

  • Uploaded By: which advisor uploaded the file

  • Date: when it was uploaded

  • Actions: a menu for managing the file

The Documents tab also has two views at the top:

  • Active: shows all documents currently in use

  • Hidden: documents whose parent component or proposal is no longer visible to your traveler. This happens automatically in two cases: when a component has been hidden via Hide in Client View, and when a proposal has been Archived (so it isn't the active Itinerary). Documents move back to Active automatically once the parent becomes visible again.

Uploading directly to the Documents tab

You can also upload documents that aren't tied to any single component:

  1. Open the Documents tab in the trip's left navigation.

  2. Click Upload Files.

  3. Use the same Upload New Documents dialog to set the document name, type, file, and visibility.

  4. Click Save.

Files uploaded this way appear in the table with a dash in the Related Booking column. Use this for trip-wide documents like a general information guide, signed agreements, or anything else that doesn't fit a specific component.
