Create and Manage Tasks

Create, assign, and track tasks tied to trips, contacts, or your general workflow.

Tasks help you stay on top of follow-ups, reminders, and action items across your workspace. A task can stand on its own or be linked to a specific trip or contact, and its due date can be set to a fixed date or calculated automatically from trip dates or contact milestones.

The Tasks Page

Click Tasks in the left sidebar to open your task list. It's your consolidated view of every task across all your trips and contacts, including any created from within a trip or contact. Tasks are split across two tabs:

  • Incomplete - Open tasks still in progress.

  • Completed - Tasks you've marked done.

Each task shows its Title, Due Date, Assigned To, Task Type, Associations, Status, and Created By. Use Search Task(s) to find a specific task, or click Filter to narrow the list.

Create a Task

A task is a single record. Wherever you create it, it appears everywhere it's linked, so you can work from one global list or from the trip or contact it belongs to, and everything stays in sync.

From the Tasks page

The Tasks page is your consolidated view of every task across all your trips and contacts.

  1. Click + New Task.

  2. The Edit Task page opens, where you configure the task.

Fill in the following:

  • Task Name - The title of the task.

  • Assigned To - Who's responsible. Defaults to yourself.

  • Task Type - Trip, Contact, or General (see below).

  • Associated Trip or Contact - For a Trip or Contact task, choose the trip or contact it belongs to. This link is what makes the task appear under that record's Tasks tab as well. General tasks have no association.

  • Due Date - A fixed calendar date, or a relative date that calculates automatically.

  • Urgent - Flag the task to highlight it across the platform.

  • Description - Add detail in the description editor.

  • Email Notification - Turn on to receive email reminders.

Changes save automatically - the indicator at the top shows the current save status.

From a trip or contact

You can also create a task directly where the work lives. It's linked automatically and still appears on the main Tasks page.

  • From a contact: Open the contact's Tasks tab and click Add Task. Choose One-Off Task to build a new task, or From Template to apply a saved Contact template. The task is linked to that contact.

  • From a trip: Open the trip's Tasks section and click Add Task. Choose One-Off Task to build a new task, or From Template to apply a saved Trip template. The task is linked to that trip.

Note: A linked task is the same record in both places. Whether you open it from the Tasks page or from the trip or contact's Tasks tab, any change - including marking it complete - updates it everywhere.


Task Types

A task's type determines what it's linked to and which due-date options it has:

  • Trip - Linked to a trip; can schedule its due date from trip dates.

  • Contact - Linked to a contact; can schedule its due date from contact milestones.

  • General - A standalone task, not tied to any trip or contact.


Due Dates

Each task uses one of two due-date modes, set on the Edit Task page:

  • Fixed - A specific calendar date.

  • Relative - A date calculated from a reference event. Available events depend on Task Type:

    • Trip: After Trip Starts, Before Trip Starts, After Trip Ends, Before Trip Ends, After Task Creation.

    • Contact: Birthday, Anniversary, Passport Expiration, Task Creation.

For relative dates, you set an offset (for example, 3 days before, or 1 week after) from the chosen event.

If the reference data is missing - a contact with no birthday, or a trip without dates - the due date can't be calculated and TripLoft shows a warning naming the required field. For relative scheduling in reusable templates, see Create and Manage Task Templates.


Manage a Task

From the Tasks page, open the Actions menu (⋯) next to any task to Edit it (open it in the Edit Task view) or Delete it.

To mark tasks complete, select them using the checkboxes on the left of each row, then click Mark as done in the selection bar that appears at the bottom of the page. This moves them to the Completed tab. You can also mark a task complete from the Edit Task page.


Tasks on the Dashboard

Your most recent tasks also appear in the Dashboard task widget, shown alongside their associated trips or contacts, so you can review upcoming work without leaving the Dashboard.


Conclusion

Tasks keep your follow-ups organized across TripLoft. Whether standalone or linked to a trip or contact, they can be assigned, prioritized, and scheduled to fit your workflow - so you always know what needs to happen and when.
