Send and Schedule Messages

Send emails, schedule future communications, and manage traveler conversations directly from a trip.

The Messages page centralizes trip-related communication, allowing you to send one-off emails, use saved templates, attach forms and files, and automate follow-up messages.


The Messages Page

Navigate to a trip and select Messages from the left navigation.

The Messages page contains two tabs:

Inbox

View messages and communication activity associated with the trip.

Scheduled

View messages that have been scheduled for future delivery.

All communication remains associated with the trip, creating a complete communication history.

Send a Message

  1. Open the trip's Messages page.

  2. Click inside the message area.

  3. Select the sender email address.

  4. Choose one or more recipients.

  5. Optionally add CC recipients.

  6. Enter a subject.

  7. Write your message.

  8. Click Send Now.

The email is sent immediately and appears in the trip's message history.

Use an Email Template

Instead of creating an email from scratch, you can use a saved template.

  1. Open the Send Message window.

  2. Select a template from the Use Template dropdown.

  3. The template's subject and content populate automatically.

  4. Make any necessary edits.

  5. Send or schedule the message.

Add Files and Forms

Messages can include supporting documents and forms.

Add Files

  1. Click Insert File.

  2. Select the desired file.

  3. The file is attached to the email.

Add Forms

  1. Locate the Insert Form section.

  2. Search and select a form template.

  3. Send or schedule the message.

Recipients can access and complete included forms directly from the email.

Schedule a Message

To send an email at a later time:

  1. Compose your message.

  2. Click Send Later.

  3. Select the desired send date and time.

  4. Confirm the schedule.

The message appears in the Scheduled tab and is delivered automatically at the selected time.

Create Automated Follow-Ups

Triploft can automatically send a follow-up message when no response is received.

To configure a follow-up:

  1. Compose the message.

  2. Enable the follow-up option.

  3. Enter the number of days to wait.

  4. Select a follow-up email template.

  5. Choose the follow-up send time.

  6. Send or schedule the message.

If the recipient does not respond within the specified period, the follow-up email is sent automatically.

View Message History

All messages related to a trip are stored within the trip's Messages page.

Use the conversation history to:

  • Review previous communications

  • Track traveler interactions

  • Confirm sent messages

  • Monitor scheduled communications

This provides a complete communication record for the trip.
