Manage Room and Cabin Options

Configure room and cabin arrangements, assign travelers, and manage accommodation selections within Lodging and Cruise components.

Room and Cabin Options allow you to organize traveler accommodations inside a proposal. You can create multiple rooms or cabins, assign travelers to them, and prepare accommodation selections before finalizing bookings. Rooms (for lodging) and cabins (for cruises) work the same way - the feature simply uses the label that matches the component type.


Access Room & Cabin Options

For Lodging

  1. Open a Proposal.

  2. Select a Lodging component.

  3. Click Edit.

  4. Open the Room tab.

For Cruise

  1. Open a Proposal.

  2. Select a Cruise component.

  3. Click Edit.

  4. Open the Cabin tab.


Understanding the Layout

The Room and Cabin management screen contains three primary areas:

  • Room/Cabin List - Displays all configured rooms or cabins.

  • Traveller Assignment - Shows assigned and unassigned travelers.

  • Selection Tools - Used to choose inventory and accommodation options.


Create a Room

Use rooms when configuring hotel accommodations.

  1. Open the Room tab.

  2. Click + Add Room. A new room card is created.

  3. Enter a Room Name.

  4. Optionally add a room description.

  5. Save your changes.

The room is added to the accommodation configuration.


Create a Cabin

Use cabins when configuring cruise accommodations.

  1. Open the Cabin tab.

  2. Click + Add Cabin. A new cabin card is created.

  3. Enter a Cabin Name.

  4. Optionally add a cabin description.

  5. Save your changes.

The cabin becomes available for traveler assignment.


Add Multiple Rooms or Cabins

You can create as many rooms or cabins as required. Each room or cabin is managed independently.

For example, a family of 6 might use Room 1 for the parents and Room 2 for the children, while a cruise booking might use Cabin 1 for a couple and Cabin 2 for friends traveling with them.


Assign Travelers

After creating rooms or cabins, travelers can be assigned to accommodations.

For Lodging

  1. Open the Room tab.

  2. Click Make Selections.

  3. Assign travelers to each room.

For Cruise

  1. Open the Cabin tab.

  2. Review the Unassigned Travellers section.

  3. Click Make Selections.

  4. Assign travelers to the appropriate cabin.

Traveler assignments help ensure accommodation occupancy is configured correctly.


Manage Unassigned Travelers

When travelers have not yet been placed into a room or cabin, they appear in the Unassigned Travellers section. Review this section before saving.

As a best practice:

  • Assign every traveler whenever possible.

  • Verify room occupancy matches the booking requirements.

  • Confirm traveler distribution before generating the final proposal.


Search Accommodation Inventory

If inventory integration is available:

  1. Click Search Room or Search Cabin.

  2. Browse available accommodation options.

  3. Select the desired option.

  4. Apply the selection.

The chosen accommodation populates the room or cabin information automatically.


Edit Room or Cabin Information

At any time you can update:

  • Room or Cabin Name

  • Description

  • Assigned Travelers

  • Selected Accommodation

Changes are saved with the proposal component.


Remove a Room or Cabin

Each room or cabin appears as its own card, headed by its name (for example, Room 1 Info). To remove one:

  1. Locate the Room or Cabin card you want to remove.

  2. Click the X in the top-right corner of that card.

The room or cabin is removed from the component, and any travelers who were assigned to it return to the Unassigned Travellers section.


Save to Library

If the accommodation setup may be reused:

  1. Configure rooms or cabins.

  2. Click Save to Library.

  3. Enter a template name if prompted.

  4. Save.

The configuration can later be reused across proposals.
