Adding a procedure code to your services is essential for accurate billing and facilitating insurance submissions. Here are the key locations and steps for integrating a procedure code:

  1. Service Creation:

    • This is the recommended location to add a procedure code as it saves the code to the service, eliminating the need to add it each time during billing.

    • Navigate to the service creation or editing section.

    • Enter the procedure code in the designated field.

    • If the code exists in our system, a drop-down menu will appear with the correct code. Selecting the code will automatically fill in the description, which can be edited if necessary.

  2. During Mark Session Complete:

    • Procedure codes can be edited, removed, or added during the "Mark Session Complete" process.

    • This flexibility allows for adjustments based on specific session details.

  3. During Booking for Paid in Advance Services:

    • When booking a service that requires payment in advance, procedure codes can be reviewed and added while reviewing the invoice before confirming the appointment.

    • This ensures that all necessary billing details are captured accurately from the start.

  4. In Billing via Invoice Editing:

    • Procedure codes can also be added or edited in billing for invoices in draft and sent status.

    • Navigate to the billing section, select the invoice, and use the edit option to modify the procedure codes as needed.

Key Points:

  • Select the procedure code from the drop-down menu to ensure it matches the insurance requirements and helps identify the correct rate when submitting for reimbursement.

  • Procedure codes are a requirement for insurance purposes and ensure that the services provided are correctly documented and billed.

By following these steps, you can efficiently manage procedure codes within your services, ensuring compliance and accuracy in billing and insurance claims.
