How do I create a new note for a client?

Creating Notes

You can create a new note from either the Notes section or directly from an existing client's profile.


Create a new note

From the Notes section:

  • Go to Notes

  • Click Create Note

  • Search for and select an existing client

From a Client Profile:

  • Go to Clients

  • Open the client's profile

  • Click Create Note in the upper-right corner


Complete the note

When creating a note, you can enter the following information:

  • Note title (optional, up to 50 characters)

  • Appointment date (optional)

  • Note content (up to 25,000 characters)

  • Attachments (optional)


Save or complete the note

If you are not ready to finalize your documentation:

  • Click Save for Later

  • The note will remain in Open status

  • You can continue editing the note later

  • You can also add attachments and addendums while the note is open

If you have finished documenting the note:

  • Click Mark Note Complete

  • The note status will change to Complete

  • The original note can no longer be edited

  • You can continue adding attachments and addendums if additional information needs to be documented


What dates are displayed?

A note may display several different dates:

  • Appointment date

    • The date associated with the appointment or session, if one is selected

    • If no appointment date is selected, this field will remain blank

  • Created date

    • The date the note was originally created

  • Date completed

    • The date the note was marked Complete

These dates may be different depending on when the session took place, when the note was created, and when it was finalized.


What happens next

  • The note will appear in the Notes section

  • It will also appear in the client's Notes tab

  • Open notes can be edited until they are marked Complete

  • Completed notes remain available for reference

  • Attachments and addendums can continue to be added after completion


Important

Notes can only be created for existing clients. If the client does not already exist in Trova, you will need to create the client before creating a note.


Tip

Use Save for Later if you're still documenting a client session. Once you select Mark Note Complete, the original note can no longer be edited, but you can continue adding attachments and addendums.
