How do I view and process appointment requests as a provider?

When a client submits an appointment request, you can review and act on it directly from your Requests tab:

  • Open Requests:
    Go to Appointments → Requests to see all pending requests.

  • View Details:
    Click the three-dot menu on any request and select View Details to see the client’s name, email, phone, and “Reason for Visit” (if provided).

  • Accept (✅):
    Edit the service, price, or location (In-person/Virtual) if needed, then confirm. A booking email with full details is sent to the client, and the appointment remains on your calendar.

  • Decline (❌):
    Choose a predefined reason or select Other for a custom note (custom notes will be visible to the client). The request is removed from your calendar, and the client receives a decline email with the selected reason.

  • If the time has already passed:
    You’ll see the request under Current Requests.

    • Click the trash icon to delete it (no email is sent to the client), or

  • Use the menu option to reschedule it for a new upcoming time. The client will receive an updated email with the new date and time.

  • Other options in the menu:

    • View Details: See the client’s name, email, phone number, reason for visit (if provided), and details about the requested service (date and time).
