What are the benefits of booking appointments on the calendar vs. creating a “Stand-alone” invoice?

Booking on the Calendar provides a more complete scheduling and client experience compared to creating a Stand-alone invoice.


Booking appointments on the Calendar


Client communication

  • Clients receive a booking confirmation email with appointment details

  • Includes location (virtual link or in-person address)

  • Clients receive appointment reminders:

    • 24 hours before

    • Within 1 hour of the appointment

  • Payment reminder emails are sent on day 3 and day 6 if the invoice is unpaid


Scheduling and visibility

  • Appointment appears on your Calendar

  • Also visible in the Upcoming tab and Client profile

  • Allows for one-click access to virtual sessions


Billing workflow

  • After the session, click Mark Session Complete

  • Invoice details (date, service, line items) are automatically populated


Stand-alone invoices


Manual setup

  • No linked appointment

  • Date and line items must be entered manually


Client communication

  • No booking confirmation or appointment reminders

  • No automatic payment reminder emails are sent


Use case

  • Best for:

    • Sessions not scheduled on the Calendar

    • Administrative or miscellaneous charges

Use the Calendar whenever possible for a smoother client experience and built-in reminders.
