What happens when someone requests an appointment with me on Trova?

When a prospective client submits an appointment request through the Trova platform, you’ll receive an email notification letting you know there’s a new request waiting.

To review it, log in to your Trova account and go to Appointments → Requested. This tab shows all pending appointment requests, listed from soonest to farthest out.

From here, you can:

  • Click the green check mark to review details — including the client’s name, email, phone number, service, price, and location (virtual or in-person).

  • Edit the service, price, or location if needed (the date, time, and client name can’t be changed).

  • Click Accept Request to confirm the appointment and automatically send the client a booking confirmation email.

If you can’t take the appointment, click the red X to decline. You’ll be asked to select a reason, which will appear in the decline email — including any custom message you enter under “Other.”

Once accepted, the appointment will appear in your Calendar, Upcoming tab, and Client Profile. If it’s a virtual appointment, you can start the session directly from any of these places.

After the session takes place, it will move to the Open tab, where you can mark it complete, bill, and record payments in Billing — keeping your workflow smooth from booking to payment.
