Understanding the differences between Date Sent and PO Date aids you in better tracking and filtering your Purchase Orders (PO). The following sections will provide definitions of each date-related term so that you can distinguish them.

Where Do You Find Date Sent and PO Date?

You can find the Date Sent and PO Date fields within the Document Management menu.

NOTE: The Document Management menu allows you to view PO details and Receipt Status, Vendor information, and transmitted return documents.

Perform the following steps:

  1. From the portal for Retailer, select the Document Management menu.

  2. In the table view, locate the Date Sent and PO Date columns, which enable sorting POs by clicking on the column header once or twice to arrange them in ascending or descending order.

Defining Date Sent and PO Date

Both the PO Date and Date Sent are automatically recorded by the system, ensuring accuracy without the need for manual entry.

Date Sent

The Date Sent defines the specific date and time (always in Eastern Time) when a document is successfully sent from the Retailer portal to the Vendor portal. This timestamp serves the following purposes:

  • Tracking transactions: It helps both parties know the exact moment when a transaction is dispatched, facilitating better communication.

  • Organizing documents: This field supports sorting and organizing documents chronologically. You can easily sort documents by clicking on the Date Sent column once or twice to arrange them in ascending or descending order.

PO Date

On the other hand, the PO Date marks the date when a Purchase Order was initially created by the Retailer users. Unlike the Date Sent, this field is not necessarily aligned with Eastern Time. You can understand it as the “Date Created” or “Creation Date”. This field is essential for the following scenarios:

  • Tracking transactions: It provides insight into when a specific Purchase Order was generated, which is vital for business operations.

  • Organizing documents: This field supports sorting and organizing documents chronologically. You can easily sort documents by clicking on the PO Date column once or twice to arrange them in ascending or descending order.


Utilizing Date Ranges in the Portal for Retailer

On the Document Management menu, the date range filters allow you to narrow down search results for POs based on the Date Sent and PO Date fields.
