Each user type in TrueCommerce Home, including Administrator, Manager, Staff, and Custom Staff, involves different security levels. Understanding these levels of security is crucial for managing permissions and granting users appropriate access to the portal functionalities.

What is a Security Level?

A security level defines the access rights and privileges assigned to different user accounts. It determines the actions users can perform, the features they can access, and the data they can view or modify. Understanding these levels helps organizations tailor user access appropriately, thereby enhancing overall security and preventing unauthorized modifications to critical information.

User Types and Their Security Levels

Each User Type comes with different security levels, as follows:

  1. Administrator – Full Access including User Admin:

    • Access rights:

      • Administrators have the highest level of security and full access, enabling them to utilize the complete capabilities of the TrueCommerce Home portal.

      • They can manage user accounts, including adding, editing, and deleting users, as well as adjusting roles and permissions.

      • They can oversee all functionalities associated with order management and Application Configuration, providing them with full control over the portal features.

    • Limitations: Administrators basically have no limitation on what they can do in the portal.

NOTE: While Administrators have extensive capabilities, organizations should exercise caution when assigning this role. Given their ability to significantly impact the system, it is essential to monitor Administrators’ actions periodically to maintain compliance and security.

  2. Manager – Full Access except User Admin:

    • Access rights:

      • Managers have access to their own user accounts and can adjust their profile information.

      • They can handle order management and Application Configuration.

    • Limitations: They do not have the overall visibility into other user accounts.

  3. Staff – View Only Access:

    • Access rights:

      • Staff users can only view their own account details.

      • They can view and print relevant documents related to their roles.

    • Limitations: Staff members are prohibited from making any changes to data or settings within the portal. Their access is strictly limited to view-only, thereby minimizing the risk of accidental modifications.

  4. Custom Staff – View Only Access:

    • Access rights: Custom Staff accounts operate similarly to standard Staff accounts in terms of access, but they may have tailored functionalities designed for specific business needs.

    • Limitations: Like regular Staff members, Custom Staff users have strictly view-only access and cannot make changes to any system settings or data.

Summary of User Account Levels

In summary, the hierarchy of security levels in TrueCommerce Home is as follows:

  • Administrator: Highest access level with full capabilities, including user management.

  • Manager: Second highest access level with limitations on visibility of other user accounts.

  • Staff: Limited to view-only access.

  • Custom Staff: Limited to view-only access, with specific functionalities designed for customized needs.

Best Practice:

  • Regularly review user accounts to verify that they have appropriate access levels based on their current roles.

  • Update user permissions as organizational roles evolve to avoid outdated or unnecessary access rights.

  • Actively monitor the Administrator users’ actions to detect any unauthorized or unusual behavior.

  • Train users and help them understand their access rights and responsibilities, which facilitates their experience in using the portal.
