How to Prepare a Twala Document for Signing

Preparing a document for signing with Twala is simple and secure. Follow this step-by-step guide to get your documents ready for electronic signing.

1. Upload Your Document

  1. From your Twala Dashboard, click on the Prepare Document button.

  1. Select the file you want to be signed.

Twala supports files up to 50MB in size.

Optional: You can rename the document to easily distinguish it from other files.

2. Add Signers

Under the β€œWho needs to sign this document?” section, choose the type of signers:

  • Include Me – Select this if you are one of the signers.

  • Add Another Signatory – Enter the name and email address of additional signers.

You can add up to 50 signers per document. (Limits may be adjusted for Premium and Enterprise plans.)

3. Add Instructions and Recipients

Message to Signatories: Add a custom message or instructions for your signers. This message will be sent along with their email invitation.

CC Recipients (Carbon Copy): If anyone else needs a copy of the signed document, click Add CC Recipient and enter their name and email. You can add multiple CC recipients.

4. Choose How Your Document Will Be Signed

Select how you want your signers to sign the document:

a. Via email link - Signer is not required to create an account. For high stake documents, doing the e-KYC falls under the responsibility of the sender.

b. Via Twala Sign - Signer is required to create a Twala Account in order to sign

c. Via PKI Certificate - Signer is required to have a PKI digital certificate used to authenticate the identity of the signer and ensure the integrity of the signed document.

5. Prepare the Document

Click Prepare Document to load the file into Twala's document editor.

6. Assign Fields to Signers

  1. From the left sidebar, select the signer's name.

  2. Drag and drop the fields into their correct positions on the document.

    Twala supports the following fields:

    • Signature Field

    • Text Field

    • Checkbox

    • Radio Button

    Automatic fields include:

    • Date Signed

    • Email Address

    • Name

    • Signatory's Initials

    If a field is optional, untick the Required checkbox.

    7. Review and Submit

    Once you've assigned all fields:

    • Double-check the placement of all fields.

    • Click Submit to finalize the document.

    If you are also a signer, fill out your assigned fields and affix your signature before clicking Submit Signature.

    Important Notes:

    • Each Twala account holder is issued a unique digital certificate. Sharing accounts or emails will invalidate the document.

    • All signers will receive an email invitation to sign the document.

    • Once all signatories have signed, the document will be recorded on the blockchain for tamper-proof verification.

    • A signed PDF copy will be available in your document folder and sent as an attachment in the completion email.
