Prepare and sign a document with multiple signatories

Click on the "Prepare document" button

  1. Upload the file that you want to sign. Twala Sign accepts Word, PDF, JPEG and PNG files.

    Twala only supports PDF file of up to 50MB.

  2. Who needs to sign? Click on the "Include me" button if the author/sender is also a signatory.

  3. Click the "Add another signatory" button and enter the name and email addresses of the other signatories.

    There is a limit of 50 signatories per document (Could be increased for custom/enterprise plans.)

  4. Message to signatories, You can add a message to all the signatories, this will appear on the email invite to sign the document.

  5. Anyone else needs to receive a copy? This is basically a carbon copy field. Enter the name and email of the person to whom you want to send a copy of the signed document. If you want to add more CC recipients, click the "add CC recipient" button. Clicking the "Maybe next time" button will turn off the CC recipient.

    There's a limit of 50 CC recipents (could be more for custom/enterprise plans).

  6. How should this document be signed? Twala supports three levels of document security. First is "Via Email Link" wherein signers can sign documents without the need to create a Twala Account. Just click the link sent via email and it will redirect the signer to the document request. Second is "Via Twala Sign" where only those who have Twala account can sign the document. The third option is for those who have a Twala account and a verified Twala ID, meaning those who have created their Twala ID, got approved, and have linked their digital ID to their Twala Sign account. If the signatory invited to sign the document does not have a Twala ID yet, they will have to create one before they can sign the document.

  7. Advanced Settings > Add an audit trail? Click here to know what is an audit trail. You can customize what information you want to include in the audit trail by clicking on the tickbox beside the audit trail options. Clicking the "Maybe next time" button will turn off the Audit trail.

    Email address: This is a required information

    Show document ID: UDID or universal document ID displayed at the bottom of all the pages

    Show author: Name of the one who prepared the document

    Show mobile number: When ticked, the verified mobile number of all the signatories will be displayed. The last 4 digits are masked (e.g. +63917432****)

    Show ID details: When ticked, this will show the details of the government-issued ID submitted by all the signers (e.g. Passport: A1234567A). This will only appear if all the signatories have verified Twala ID.

  8. Click on the "Prepare document" button.

  9. Once the document is loaded, you can now set the form and signature fields for each of the signatories.

  10. Select the name of the first signatory.

  11. Then click or drag and drop the fields into the document and position it accordingly. Do it for all the signatories.

  12. Twala supports the following standard fields. Note that these fields may be assigned as required fields:

    Signature field

    Text field

    Checkbox

    Twala supports autofill fields:

    Date signed

    Email

    Name

    Signatory's Initials

  13. Once done, click on save.

  14. If you are a signatory too, fill out the form fields and sign the document by clicking the yellow-colored "SIGN HERE" button.

  15. There are three ways to electronically sign the document:

    a. Draw - Draw your signature via your touchpad or mouse.

    b. Type - Type your name or characters you want to adopt as your electronic signature.

    c. Upload - We recommend that the signature image should be a transparent PNG file. *You can save up two electronic signatures under your account.

  16. Click on the "Save" button.

  17. All signatories will receive an email invite to sign the document in a few seconds after clicking the "Save" button.

  18. Once all signatories sign the document, the document will be finalized, completed, and recorded in the blockchain network. A final copy will be sent to all signer's email addresses and can also be accessed under the Document in the main menu.

You can create a transparent image of your signature by following the steps below:

  1. Using a black pen with a broad tip, draw your signature on clean white paper.

  2. Take a photo of the signature using your smartphone. Make sure you maximize the entire space of the photo.

  3. Go to and upload the photo of your signature, remove the background and download the transparent version. https://www.remove.bg/

  4. Then upload it to your Twala account.

Another way of signing a document is to sign the document using a mobile browser on your smartphone. You can sign by drawing your signature on the phone's screen.
