Custom Cycle Execution - User Guide

How to execute missed cycles in a leaderboard

Updated over 2 months ago

What is Custom Cycle Execution?

Custom Cycle Execution allows you to run your leaderboard calculations for any specific time period - whether it's from the past or future. This gives you complete flexibility to analyze performance data for any period you need.

Why is this useful?

  • Catch up on missed periods: Run calculations for weeks or months that weren't processed

  • Future planning: See how your team might perform in upcoming periods

  • Historical analysis: Re-run calculations for past periods to get fresh insights

  • Data corrections: If you made changes to your metrics, you can recalculate past periods with the updated settings

How to Use Custom Cycle Execution

Step 1: Navigate to Your Leaderboard

  1. Go to Settings in your dashboard

  2. Click on Leaderboard

  3. Select the leaderboard you want to work with

  4. Make sure you're in View mode (you should see your leaderboard details and results)

Step 2: Find the Cycles Section

Scroll down to the Results section where you'll see:

  • A Cycles area showing periods that have already been calculated

  • Existing cycle badges (like "2024-W23", "2024-W24", etc.)

  • A small [+] button at the beginning of the cycle badges

Step 3: Execute a Custom Cycle

  1. Click the [+] button - This opens a menu showing all available time periods

  2. Browse available periods - You'll see:

    • Past periods (up to 12 previous cycles)

    • Current period

    • Future periods (next 2 upcoming cycles)

  3. Review the details - Each period shows:

    • The period identifier (like "2024-W25" for week 25 of 2024)

    • Date range (like "17 Jun 2024 - 23 Jun 2024")

  4. Click "Execute" on the period you want to calculate

  5. Wait for confirmation - You'll see a success message when the calculation starts

Step 4: View Your Results

  • The calculation runs in the background (this may take a few minutes)

  • Once complete, the new period will appear as a regular cycle badge

  • You can click on any cycle badge to view the detailed results for that period

Understanding Time Periods

The system automatically generates periods based on your leaderboard's calculation cycle:

  • Daily leaderboards: Shows individual days

  • Weekly leaderboards: Shows week ranges (Monday to Sunday)

  • Monthly leaderboards: Shows full months

  • Quarterly leaderboards: Shows 3-month quarters

  • Yearly leaderboards: Shows full years

What Happens During Execution

When you execute a custom cycle:

  1. Data Collection: The system gathers all relevant data for that time period

  2. Calculations: Your leaderboard metrics are calculated using the same rules as always

  3. Ranking: Team members are ranked based on their performance

  4. Storage: Results are saved and become available for viewing

Tips for Best Results

  • Execute recent periods first if you're catching up on multiple missed cycles

  • Check your data sources before running calculations to ensure all information is up to date

  • Be patient - calculations for longer periods (like quarters or years) may take more time

  • Review results after execution to ensure everything looks correct

Troubleshooting

Q: I don't see the [+] button

  • Make sure you're in "View" mode, not "Edit" mode

  • Ensure you have the necessary permissions to execute cycles

Q: No periods are showing in the menu

  • This might indicate an issue with your leaderboard configuration

  • Contact support if this persists

Q: Execution failed

  • Check that your data connections are working properly

  • Try executing a different period to see if the issue is period-specific

  • Contact support if problems continue

Q: Results look different than expected

  • Remember that calculations use the current metric settings, which might differ from when the period originally occurred

  • Data in your connected systems might have changed since the original time period
