Add products and update count quantities in bulk by importing Stock Counts with a CSV template

When Stock Count is In Progress, you can use the Import Stock Count function to accurately and efficiently update the products and quantities counted in bulk. Using the Import Stock Counts' CSV template file, you can list all the products you've counted, with their count quantities, and upload them to update the Stock Count accordingly.

Prerequisites for importing to Stock Counts

  • The Stock Count must already exist in your account, with a Stock Count Number, and have the status "In Progress."

  • Each product included in the Import Stock Count template must already exist in Unleashed.

Tips for importing to Stock Counts

  • If a product is included on the Import Stock Count template, but the Count Quantity is left blank, the product's count quantity will import as zero.

  • Include only one Stock Count per Import Stock Count template.

  • You can import to an In Progress Stock Count multiple times, but if a product's already on the Stock Count and is then imported, the import's Count Quantity will replace the existing Count Quantity.


Importing a Stock Count

After a Stock Count has been created and is at the In Progress status, you can update the products and count quantities included via a CSV import. You have the option to download either a pre-populated Stock Count template, listing all products already included on the Stock Count, or a blank Stock Count template to add the products as you go.

Pre-populate the Stock Count template

To download a Stock Count template that's populated with all of the products already included on your Stock Count, and any count quantities already advised:

  1. Open the Stock Count's page.

  2. Click on the Export dropdown arrow in the top right corner.

  3. Select Export to CSV.

The exported Stock Count template will also include the product description, product group, supplier, bin location, base unit of measure, and pack size, when available. However, these columns are ignored when the template is imported into the Stock Count.

Update the Count Quantity column for each product listed in the exported Stock Count template, which will replace the current Count Quantity provided for the product in the Stock Count upon import. If a product that has been counted is not listed in the template, add it by entering the product's code and count quantity in the next available row on the template.

Blank Stock Count template

To download a blank Stock Count template:

  1. From the main menu, go to Inventory > Transactions > Stock Counts.

  2. Click on the Import Count.

  3. Click on Download Stock Count Template File.

Enter each product and its quantity into the blank Stock Count template, along with the Stock Count's number, so that the Stock Count updates the product's count quantity upon import.

Update a Stock Count with a CSV template

Once your Stock Count template is populated with your counted products and quantities, upload it to update your In Progress Stock Count:

  1. From the main menu, head to Inventory > Transactions > Stock Counts.

  2. Open the In Progress Stock Count.

  3. In the top right corner of the Stock Count's page, click on Import.

  4. Import the Stock Count template CSV file via the grey upload tile.

  5. Use the task bar in the top right to monitor the import's progress:

    • Orange circle: In progress.

    • Green tick: Import completed.

    • Red cross: Import failed.

Once imported successfully, the "In Progress" Stock Count will update to show the uploaded Count Quantity per product. You can make any further changes to the uploaded quantities directly in the Stock Count, to then complete once finalized.


Frequently asked questions

Why aren't warehouse details included on an Import Stock Count template?

Each Stock Count created and completed will only update one warehouse's SOH. As the appropriate warehouse is selected when the Stock count is initially created, the warehouse's details aren't necessary to include on the template file used to update the existing Stock Count's template, which already has a warehouse advised.
