Managing customer information efficiently is crucial for growing businesses, and Unleashed's Import/Export functionality allows you to handle customer data in bulk rather than creating or updating records one by one. Whether you're migrating from another system, making widespread updates, or simply maintaining large customer databases, the import and export tools streamline these processes significantly.
The Customer Import/Export page, found in Customers > Import/Export, provides dedicated templates for four key data sets:
Customers
Delivery Addresses
Customer Contacts
Customer Pricing
Each template is specifically designed to handle its respective data type, ensuring accurate imports and preventing data conflicts. You can export existing data to review current information, make bulk edits in spreadsheet applications, and then re-import the updated information seamlessly.
Click on the grey Download button in each customer data set's tab to download an empty version of the data set's CSV template. You will also see the upload space where a populated version of the CSV template will be imported.
π€ Tip: If a template is not uploaded via the appropriate tab, the import will fail. Review the Data Import Checklist and Troubleshooting Import Errors articles to help ensure a successful import.
π Note: Import templates that have been uploaded to cannot be stopped, reversed, or cancelled. Any changes made from an import will replace previously saved data. We recommend saving an original export prior to importing any updates as a back-up.
Exporting customer details
Click on the green Export dropdown arrow in the top right corner of the Customers' Import/Export page to download a CSV template pre-populated with your existing customers' data. These export templates can be edited and uploaded back into their respective tab to then update existing records in bulk. This export function is also a useful tool for obtaining an external copy of your current customer data.
To export a pre-populated CSV template for your customers:
From the main menu, go to Customers > Import/Export.
In the top right of the Import/Export page, click the Export dropdown icon.
Select the customer data set you want to export from the list displayed:
Customers
Delivery Addresses
Customer Contacts
Customer Pricing
A pre-populated CSV file will be generated matching the data set's import template's layout.
Export individual Customer Pricing
To download a Customer Pricing template for a specific customer:
Open the customer's record.
Go to the Customer Pricing tab.
Click on Export.
Import Customers
To create customers or update customer details, e.g., Sell Price Tiers, Customer Types, and Postal and Physical Addresses, in bulk, use the Customer template:
From the main menu, go to Customers > Import/Export > Customers tab.
To import new customers select "Download Customer Template File" in the Customers tab. To update existing customers, select Export > Customers.
Fill in and update the downloaded CSV template, see Import Customers field definitions.
Save the template in CSV format.
Return to Customers > Import/Export > Customers tab and import the updated CSV file via the upload tile.
π Note: Only the Import Customers template can be used to create new customers via upload.
Import Delivery Addresses
To add or update the delivery addresses for your customers in bulk:
From the main menu, go to Customers > Import/Export > Delivery Addresses tab.
To update existing addresses, click on the Export dropdown and select Delivery Addresses. To create new addresses per customer, click on "Download Delivery Address Template File".
Fill in and update the downloaded CSV template, see Import Delivery Address field definitions.
Save the template in CSV format.
Return to Customers > Import/Export > Delivery Address tab and import the updated CSV file via the upload tile.
π Note: Delivery Addresses cannot be deleted from a Customer's record, but they can be obsoleted.
Import Customer Contacts
To add or update the customer contacts in bulk:
From the main menu, go to Customers > Import/Export > Customer Contacts tab.
To update existing contacts click on the Export dropdown and select Customer Contacts. To create new contacts per customer click on "Download Customer Contacts Template File".
Fill in and update the downloaded CSV template, see Import Customer Contacts field definitions.
Save the template in CSV format.
Return to Customers > Import/Export > Customer Contacts tab and import the updated CSV file via the upload tile.
π€ Tip: Ensure that you enter a unique combination for the First Name + Last Name for the customer contact. If the First Name + Last Name combination already exists, then the existing contact will be updated.
πNote: Customer contacts cannot be deleted using the Import Customer Contacts template. Contacts can only be deleted directly in the customer's record.
Import Customer Pricing
To add new customer pricing to customers in bulk:
From the main menu, go to Customers > Import/Export > Customer Pricing tab.
Click on "Download Customer Pricing Template File".
Fill in and update the downloaded CSV template, see Import Customer Pricing field definitions.
Save the file in CSV format.
Return to Customers > Import/Export > Customer Pricing tab and import the updated CSV file via the upload tile.
On average, importing a Customer Pricing Template of up to 10,000 rows will take up to 75 minutes.
Update Customer Pricing
When updating the customer pricing that already exists for a customer, the following conditions must be met in the Customer Pricing template:
Each CSV row specifies the CustomerCode and ProductCode.
Each CSV row does not specify a Product Group, MinimumQuantity, ValidFrom, or ValidTo value.
The existing customer pricing must be deleted from the customer's record.
If the above conditions are met, the following field values will be updated when the CSV is imported:
PriceType (ie. IsFixedPrice, IsDiscount)
Price/DiscountValue
Comments
Obsolete
ShowDiscount
DiscountFrom (ie. SellPriceTier or DefaultSellPrice)
Update Customer Pricing for all customers
To update the customer pricing for all customers:
From the main menu, go to Customers > Import/Export > Customer Pricing tab.
Click on the Export drop-down menu and select Customer Pricing.
Save a copy of the exported template, and in one of the copies, fill in and update the downloaded CSV template, see Import Customer Pricing field definitions.
Save the file in CSV format.
Return to Customers > Import/Export > Customer Pricing tab and click on "Delete All Customer Prices".
Import the updated CSV file via the upload tile.
Update Customer Pricing for a customer
To update the customer pricing of a single customer:
Open the customer's record.
Go to the Customer Pricing tab.
Click on Export.
Save a copy of the exported template, and in one of the copies, fill in and update the downloaded CSV template, see Import Customer Pricing field definitions.
In the customer's Customer Pricing tab, hover over the action cog icon in the grid's header and select Select All > Delete.
Click on Import.
In Import/Export go to Customer Pricing tab.
Import the updated CSV file via the upload tile.
