The View Supplier Returns page can be used to review and update all existing Supplier Returns in your account, whether they're in Parked or Completed status. This gives you full visibility and control of any credits or returns being processed for your stock and its suppliers.
For an overview of the Supplier Returns in progress on your account, go to the main menu and select Purchases > Supplier Returns > View Supplier Returns.
Manage your view
At the top of the View Supplier Returns page, there are two functional buttons available:
Export: Downloads the current View Supplier Returns layout in either a PDF, CSV or XLSX format.
Add Return: Opens the Add Supplier Return page, allowing you to create a new Supplier Return for a completed PO, from scratch.
By default, the View Supplier Returns page will list all Parked Supplier Returns currently in your account, in descending Supplier Return Number order.
Filter your Supplier Returns
Use the filter fields available at the top of the View Supplier Returns page, described in the table below, to specify which Supplier Returns should be displayed, making it easier for you to review and update the Supplier Returns that need it.

Status | Only Supplier Returns currently with the selected status will populate. The Status drop-down menu includes the following options:

Supplier Return Number | A free text field that will filter Supplier Returns to only show those that include the text advised in a Supplier Return's order number, e.g., "19" to show all Supplier Returns with "19" in their order number. |
Supplier | A free text field to only show Supplier Returns created for suppliers that include the text in their supplier code or name. |
Warehouse | Use the drop-down menu to only show Supplier Returns for the selected warehouse. |
Printed | Use the drop-down menu to only show Supplier Returns based on whether they have been printed. The Printed dropdown options are:

Customise the View Supplier Returns layout
The detail that's displayed, per Supplier Return, in the View Supplier Returns page is determined by column headers that are included in the page's grid layout.
Customize how the Supplier Return details are displayed by adjusting the column widths, dragging and dropping columns into their preferred position, and clicking on the header to sort the Supplier Return into ascending or descending order. You can also drag and drop column headers into the grey space above the other column headers to group Supplier Return by that column's detail, in an expandable format.
📌Note: Only the headers already displayed in the layout or in the Hidden Columns list can be displayed in the View Supplier Returns page.
View Supplier Returns column headers
The columns displayed in the View Supplier Returns page provide an overview of the Supplier Returns that exist in your account. The columns that are displayed by default in your View Supplier Returns page are described in the table below.

Supplier Return No. | Displays the Supplier Return's unique order number. |
Return Date | Displays the date the Supplier Return is expected to be returned. |
Supplier | Displays the name of the supplier the Supplier Return has been created for. |
OrderNumber | Displays the order number of the Purchase Order the Supplier Return's been created for. |
Warehouse | Displays the name of the warehouse the Supplier Return is due to remove any returning stock from. |
Status | Displays the current status of the Supplier Return, either Parked, Completed or Deleted. |
Currency | Displays the supplier's base currency code. |
Total | Displays the total value of the Supplier Return, including tax, in your account's base currency. |
Action | Displays an action cog icon that allows you to view, print or email the individual Supplier Return. |
View Supplier Returns Hidden Columns
There are additional columns you can display on the View Supplier Returns page, which can be found in the Show Toolbar tab's Hidden Column. Drag and drop the column header from the Hidden Columns pop-up window into your grid's layout to populate the column's detail per Supplier Return in your view. The default Hidden Columns available in the View Supplier Returns page are described in the table below.

Printed | Displays either a cross (no) or tick (yes) icon to identify if the Supplier Return has been printed. |
Supplier Code | Displays the unique code of the Supplier Return's supplier. |
Supplier Email | Displays the primary contact email address of the Supplier Return's supplier. |
Supplier Ref | Displays the Supplier Reference provided in the Supplier Return. |
Manage custom layouts
After customizing your column layout, save it for future use:
Click on the Show Toolbar tab.
Select New.
Enter a unique name for the new layout.
Click Add.
The layout will now be saved to your user profile, only available to select from the Show Toolbar's Grid Layout drop-down menu.
Edits can be made to your custom grid layout at any time; just click Save in the Show Toolbar options after you've made the necessary adjustments. Similarly, custom grid layouts can be removed by clicking Delete in the Show Toolbar tab.
Default grid layouts
Initially, whenever you navigate to the View Supplier Return page, the default grid layout "None" will be displayed.
To make one of your own custom grid layouts the default view:
Click on the Show Toolbar tab.
Select the layout from the Grid Layout drop-down menu
Tick the Default checkbox.
Click Save.
Share grid layouts
If you've created a grid layout that other users in your account would benefit from using, you can make it available to their user profiles too:
Click on the Show Toolbar tab.
Select the layout from the Grid Layout drop-down menu
Tick the Shared checkbox.
Click Save.
The layout will then be available to select from the Show Toolbar > Grid Layout menu when other users open the View Supplier Return page.
🤓Tip: Shared layouts cannot be a default for another user's profile, but they can save the shared layout as a new layout in their own profile, then set that as their default. Just bear in mind that any edits you make to your shared layout will not apply to their saved default version.
Manage Supplier Returns from the View Supplier Returns page
The View Supplier Returns page can be used to provide an overview of Supplier Returns that have been created and completed so far, but it can also be used to share their progress with your teams and suppliers or create new ones.
Print and email Supplier Returns
Along each Supplier Return in the View Supplier Returns page, there's an action cog icon displayed. This action cog gives you the option to select one of the following options:
View: Opens the Supplier Return.
Print: Downloads a PDF copy of the Supplier Return, using the Doc Designer template selected in the Supplier Return.
Email: Opens a pop-up window from which you can send a PDF copy of the Supplier Return to your supplier's contacts.
Emailing Supplier Returns
When the"Email" option is selected for a Supplier Return, an "Email Supplier Return" window will be shown, and from here, you will need to confirm the appropriate contacts and message content have been populated before sending.
The To field in the Email Supplier Return window will automatically populate with the contacts ticked as "Purchasing" in the supplier's Contacts tab. Similarly, any email provided in the supplier's "Default CC Email Address" field will populate in the email's Cc field. You can add further recipients by typing the email address into either the To or Cc fields, and use the x icon on any populated recipients to remove them from the email.
The Subject and Body of the Supplier Return's email will initially populate from the Supplier Return email template designed in your account's company settings, but you have the option to edit this content within the Email Supplier Return's window.
Whilst a PDF version of the Supplier Return will automatically be attached to the Supplier Return's email, generated using the Doc Designer template selected in the Supplier Return, you can include additional attachments using the Attach Files button in the Email Supplier Return window. When you click on Attach Files, any documents or files attached to the original PO or products on the Supplier Return will be available to select and attach to the email.
Finally, before clicking Send in the Email Supplier Return window, you can use the "Send me a copy" checkbox to send yourself a copy of the Supplier Return email, using your user's email address.
