This barcode scanning functionality in Unleashed provides your teams with greater inventory control and speeds up stock management processes for the following transactions:
Purchase Orders
Stock Counts
Sales Shipments
Warehouse Transfers
Points to note
To use barcode scanning a barcode number must be provided in the product's record, in the product's Details tab under Units of Measure.
A unique barcode can be provided per unit of measure of a product.
To use barcode scanning in Stock Counts, Shipments or Warehouse Transfers only the base unit of measure of a product requires a barcode.
Only Purchase Orders support barcode scanning for a product's alternative units of measure.
Unleashed does not generate barcode numbers.
You cannot scan serial numbers or batch numbers in a transaction's barcode scanning function.
For products with a Bill of Materials (BOM), the assembled product requires its own unique barcode for tracking. Scanning individual components of the BOM will not update the assembled product's record.
π€Tip: Most plug and play or Bluetooth barcode scanners are supported, but to ensure compatibility with Unleashed, please test whether the scanner is able to read and write into an Excel spreadsheet.
Add Barcode Numbers to your stock
Before you can use barcode scanning, you will need to provide a unique barcode per unit of measure, per product that's expected to be scanned.
To update a product's base or alternative unit of measure's barcode:
Navigate to the product record in Unleashed.
In the Details tab, scroll down the Unit of Measure section.
Click on the unit of measure's row in the table displayed.
In the "Update Base Unit of Measure" pop-up window, enter the new barcode number in the Barcode field.
Click Save.
Bulk update Barcodes
A product's base unit of measure Barcode can be added or updated, in bulk, using the Import Products template.
Barcodes for alternative units of measure on your products can be added or updated, in bulk, using the Import Alternative Units of Measure template.
Use Barcode Scanning
Barcode scanning can be used in any of the following transaction workflows to speed up and improve the accuracy of your stock management process:
Receipting stock on a Purchase Order.
Counting stock for an open Stock Count.
Dispatching stock on a Shipment.
It is important to note that products cannot be automatically added to sales orders through barcode scanning; this must be done manually before dispatch.
Transferring stock on a Warehouse Transfer.
To use barcode scanning:
On the "Receipt Purchase", "Add Stock Count", "Create Shipment" or "Warehouse Transfer" page, click on the button with a barcode image icon in the top right corner.
For Purchase Orders, the Receipt Quantity column will change to zero, regardless of whether the Auto Set Receipt Quantity setting is enabled or disabled.
βA "Scan Single Barcode" window will pop-up. Toggle on Multi Scan if you will be scanning multiple products and then copying the scanned list into the Barcode field.β

If using Scan Single Barcode:
If there are multiple units of the single product, update the Increment By field with the quantity counted.
Ensure the Barcode box is selected.
Scan the product's Barcode.
Click Add.

If using "Scan Multiple Barcodes":
The the transaction will update to show the total quantity scanned per product's line.

Include barcodes and barcode images on Doc Designer templates
For barcode images to successfully display in your Doc Designer templates you will need to ensure the barcode numbers provided in your product records are compatible with the following Doc Designer supported barcode formats.
EAN-13
UPC-A
EAN-8
Code 128
ITF 14
To include barcode images on your Doc Designer templates:
From Unleashed's main menu, go to Settings > Doc Designer, and select the Document Type you want to update a template for.
βUse the Template Name dropdown menu to select the template. Classic and Formal templates cannot be edited.
βSelect the LinesGrid component in the template's layout, and click on the Component tab on the right of your screen.
βUnder Column Control, scroll through the Headers field and select BarcodeImage.
βTick the Visible checkbox.
βIn the Barcode Type drop-down menu, select the barcode format your product barcodes will be converted to.

βClick Save, and use the Preview tab to review the changes.
βClick Publish to apply the template changes.
πNote: A barcode image will not be displayed if the product does not have a barcode or the barcode value is invalid.

The Order Management setting must be enabled in order to use the barcode scanning functionality for Shipments. However, barcode scanning is still available to use with Purchase Orders, Stock Counts and Warehouse Transfers if Order Management is disabled.
