Batch Complete Sales Orders

Update Sales Orders to Complete status in bulk.

The Batch Complete page provides an efficient way to simultaneously complete multiple Sales Orders. This tool streamlines your order management process by allowing you to update multiple Sales Orders to Completed status in a single action, saving time and reducing manual processing. Use the filtering options to identify Sales Orders that meet your completion criteria, then perform bulk updates with confidence, knowing that only orders with sufficient stock availability will be completed.

To access the Batch Complete page, navigate to Sales > Orders > Batch Complete from your main menu.

Determine which users can access and use the Batch Complete page by enabling the "Batch Complete" permission in their role.


Batch Complete your Sales Orders

At the top of the Batch Complete page, two action buttons that will be used to perform a "Batch Complete" of your Sales Orders are displayed:

  • Select/Unselect All: Click to either select or deselect all Sales Orders currently populated on the Batch Complete page.

  • Batch Complete: Click "Batch Complete" to update all the selected Sales Orders to Completed status.

Points to note

  • Sales Orders included in a "Batch Complete" will only update to Completed status if there is sufficient stock available to dispatch their outstanding Shipments.

  • Sales Orders that do not complete will retain their original Sales Order status.

  • Up to 50 Sales Orders can be selected per Batch Complete.

  • Only the Sales Orders selected on the current view of the Batch Complete page will attempt to be completed when Batch Complete is selected.

Perform a Batch Complete

To complete multiple Sales Orders using Batch Complete:

  1. From the main menu, go to Sales > Orders > Batch Complete.

  2. Use the filters available to display the appropriate Sales Orders.

  3. Click on Select/Unselect All to select all Sales Orders shown on the page, or tick the checkbox displayed in each Sales Order row to select the Sales Orders to be completed.

  4. Click on Batch Complete.

The Sales Orders selected will either complete successfully, or a red error banner will be displayed to identify Sales Orders that could not be completed and the reason why.


Review open Sales Orders to complete

By default, the Batch Complete page will list all open Sales Orders, where "open" means any Sales Order with a status that is not Completed or Deleted, in descending order of their Order Number.

Use the filter fields available at the top of the Batch Complete page, described in the table below, to specify which Sales Orders should be displayed, making it easier for you to select and complete them.

Status

Use the drop-down menu to filter for Sales Orders by their current status, including custom Sales Order Statuses. The options available are:

Customer Name

A free-text field to filter Sales Orders by the customer's name.

Delivery Address

A free-text field that will filter Sales Orders by their Delivery Name. Only available when a Customer has been selected in the Customer Name field.

At the bottom of the Batch Complete page, the following summary totals are calculated, based on the Sales Orders populated from the Batch Complete's filters:

  • Total Turnover: The total sales revenue across all Sales Orders.

  • Total Profit: The difference between the total revenue and total cost across all Sales Orders.

  • Total Sales Order Value: The total sales value across all Sales Orders, including tax.

  • Sales Order Count: The number of Sales Orders populated.

  • Average Profit: The total profit, averaged across all Sales Orders.

Batch Complete column headers

The detail that's displayed per Sales Order in the Batch Complete page is determined by column headers that are included in the page's grid layout, described in the table below:

Select

Tick the checkboxes displayed in the Select column to select the Sales Orders that are going to be completed.

Order No.

Displays the Sales Order's Order Number.

Order Date

Displays the Order Date of the Sales Order.

Required Date

Displays the Required Date of the Sales Order.

Customer Code

Displays the code of the Sales Order's customer.

Customer Name

Displays the name of the Sales Order's customer.

Warehouse

Displays the name of the warehouse the Sales Order is assigned.

Status

Displays the current status of the Sales Order.

Currency

Displays the customer's currency.

Cost

Displays the total current cost of all products on the Sales Order.

Margin

Displays the profit margin that's been calculated for the Sales Order, using the ordered product's current Average Landed Cost (ALC), or Last Cost if the product does not have an ALC.

Sub Total

Displays the Sub Total sale value of the Sales Order, including charges and excluding tax, in your account's base currency.
