The View Shipments page serves as your central hub for managing and monitoring all shipments in your account. This page allows you to track shipments through each stage of the fulfillment process, from initial creation to final dispatch. Use the comprehensive filtering options to quickly locate specific shipments, perform bulk actions to streamline your workflow, and customize your view to display the information most relevant to your operations.
To access the View Shipments page, navigate to Sales > Orders > View Shipments from your main menu.
Manage your view
By default, the View Shipments page will list all Shipments with an "open" status, meaning Shipments with either Parked, Placed, Picking, Picked, or Packed status, in descending order of their Shipment Number.
Filter your Shipments
Use the filter fields available at the top of the View Shipments page to specify which Shipments should be displayed, making it easier for you to review and update them.

Status | Use the drop-down menu to filter by Shipment status, the options available are:

Shipment Number | A free-text field that will filter shipments by Shipment number. |
Customer | Filter Shipments by the customer's name or code. Use the magnifying glass icon to refine the customer filter. |
Shipping Warehouse | Use the drop-down menu to filter Shipments by the selected Warehouse. |
Transaction Date | Use the drop-down menu to select which date the Date Range filter will apply. The options available are:

Date Range | Use the date selector to filter for Shipments where their "Transaction Date" falls into the selected date range. |
Customer Reference | A free-text field to filter Shipments by the Shipment's Sales Order's Customer Reference. |
Delivery Method | Filters for the Delivery Method chosen for the Shipment's Sales Order. |
Sales Order Number | A free-text field to filter by the Order Number of the Shipment's Sales Order. |
Shipping Company | Use the drop-down menu to filter by the Shipping Company selected for the Shipment. |
Tracking Number | A free text field to filter Shipments by their Tracking Number. |
Printed | Use the drop-down menu to filter for Shipments that have either been printed or not. |
Customise the View Shipments layout
The detail that's displayed per Shipment in the View Shipments page is determined by column headers that are included in the page's grid layout.
View Shipments column headers
The columns that are displayed by default in your View Shipments page are described in the table below.

Shipment No. | Displays the Shipment's unique transaction number. |
Sales Order No. | Displays the Order Number of the Shipment's Sales Order. |
Required Date | Displays the Sales Order's Required Date. |
Dispatch Date | Displays the Shipment's Dispatch Date. |
Status | Displays the Shipment's current status. |
Shipping Warehouse | Displays the name of the Warehouse the Shipment is assigned to, and will be dispatched from |
Shipping Company | Displays the Shipping Company assigned to the Shipment. |
Tracking Number | Displays the Shipment's Tracking Number. |
Customer Code | Displays the code of the customer the shipment is for. |
Customer Ref | Displays the reference provided for or from the customer for the Shipment's Sales Order. |

View Shipments' Hidden Columns
There are additional columns you can display on the View Shipments page, which can be found in the Show Toolbar tab's Hidden Column. Drag and drop the column header from the Hidden Columns pop-up window into your grid's layout to populate the column's detail per Shipment in your view.

Contact Email | Displays the email of the customer's Primary contact. |
Contact Name | Displays the name of the customer's Primary contact. |
Contact Phone | Displays the phone number of the customer's Primary contact. |
Created By | Displays the email address of the user who created the Shipment. |
Created On | Displays the date the Shipment was created. |
Incoterm | Displays the Incoterm that has been assigned to the Shipment. Only available if International Commerce Codes is enabled. |
Item Count | Displays the total quantity of units included on the Shipment across all products. |
Last Modified By | Displays the email address of the user who last edited the Shipment. |
Last Modified On | Displays the date the Shipment was last edited. |
Line Count | Displays the total number of lines on the Shipment. |
Nature of Transaction | Displays the Nature of Transaction that is selected in the Shipment. Only available if International Commerce Codes is enabled. |
Number of Packages | Displays the number of packages the Shipment has recorded. Only available if International Commerce Codes is enabled. |
Printed | Indicates with a tick or cross icon if the Shipment has been printed. |
Shipment Comments | Displays any text added in the Shipment's Comments field. |
Shipment Weight | Displays the value entered in the Shipment's Shipment Weight. |
Total Volume | Displays the total weight calculated for the product quantities on the Shipment. |
Total Weight | Displays the total volume calculated for the product quantities on the Shipment. |
๐Note: Only the headers already displayed in the layout or the Hidden Columns list can be displayed in the View Shipments page.
Manage custom layouts
Customize how Shipment details are displayed by adjusting the column widths, dragging and dropping columns into their preferred position, and clicking on the header to sort the Shipments into ascending or descending order. You can also drag and drop column headers into the grey space above the other column headers to group Shipments by that column's detail, in an expandable format.
After customizing your column layout, save it for future use:
Click on the Show Toolbar tab.
Select New.
Enter a unique name for the new layout.
Click Add.
The layout will now be saved to your user profile, only available to select from the Show Toolbar's Grid Layout drop-down menu.
Edits can be made to your custom grid layout at any time; click Save in the Show Toolbar options after you've made the necessary adjustments. Similarly, custom grid layouts can be removed by clicking Delete in the Show Toolbar tab.
Default grid layouts
Initially, whenever you navigate to the View Shipments page, the default grid layout "None" will be displayed.
To make your custom grid layout the default view:
Click on the Show Toolbar tab.
Select the layout from the Grid Layout drop-down menu
Tick the Default checkbox.
Click Save.
Share grid layouts
If you've created a grid layout that other users in your account would benefit from using, you can make it available to their user profiles too:
Click on the Show Toolbar tab.
Select the layout from the Grid Layout drop-down menu
Tick the Shared checkbox.
Click Save.
The layout will then be available to select from the Show Toolbar > Grid Layout menu when other users open the View Shipments page.
Manage Shipments from View Shipments
Whilst the View Shipments page can be used to provide an overview of shipments created for your Sales Orders, you can use the actions and functions available in the View Shipments page to progress them through your dispatch processes.
You can perform bulk actions by ticking the checkbox of all relevant Shipments on the page, then hovering over the grid header's action cog icon to select the appropriate action. Alternatively, you can hover over the action cog in the Shipment's row to apply the action to the individual Shipment.
Change Status
To change multiple Shipments to the same status:
In View Shipments, tick the checkbox for each appropriate open Shipment.
Hover over the action cog icon in the grid's header.
Select Charge Status.
Use the Update Status drop-down menu to select a new status for the shipments.
Select Change Status.
Print Shipments
From the action cogs in the View Shipments page you can print each Shipment's Picklist, Ship Note, and Commercial Invoice, if International Commerce Codes is enabled. The Picklist, Ship Note, and Commercial Invoice Doc Designer template selected in each Shipment will be used to generate the PDF document that's downloaded when selected to print.
You also have the option to print a Combined Picklist, a PDF document that consolidates all product quantities that require picking from the Shipments selected into a single document.
Create Invoices
To create an Invoice for a customer, based on the product quantities that have been included on a Shipment, select the Create Invoice option in the bulk or individual action cogs. When selected, a new Parked status Invoice will be created, populated only by the products and quantities included on the Shipment it was created from. The Invoice will be displayed in the Invoices tab on the Shipment's Sales Order.
Dispatch
When the Shipment's stock has left your warehouse and is out for delivery, update the Shipment's status to Dispatched by selecting "Dispatch" in the bulk or individual action cog menu. Provided there is sufficient Stock On Hand (SOH) available, the Shipment's status will update the "Dispatched".
After the Shipment is in Dispatched status, no further edits can be made to the products or quantities on the Shipment, and the Shipment cannot be deleted or undone.
Delete
Whilst a Shipment is in an open status, it can be deleted. Select "Delete" in the View Shipment's action cog menu to close the Shipment without it changing your SOH. The Shipment will still be logged against its originating Sales Order, for reporting purposes, but it cannot be edited or reactivated and will not impact your inventory's SOH or availability.
