Ship From Multiple Warehouses Tutorial Video

Introduction

When enabled, the Ship From Multiple Warehouses feature allows you to fulfil individual Sales Order from multiple warehouses accurately and efficiently, streamlining your fulfillment process. The feature's a perfect tool for businesses who:

  • Hold stock in multiple warehouses and wish to fulfill individual orders from more than one warehouse.

  • Have customers that places a single order that requires fulfilling from different warehouses.

  • Would like to accurately track stock by location.

  • Have customers that require a single Sales Invoice per order, regardless of the fulfillment process.

  • Have shipments dispatched timeously, stock availability may be inaccurate until the shipment is dispatched.

  • Have multiple warehouses that have the same tax rates based on the associated sales order’s from/to location tax rate.

NOTE: The View Sales Order Bulk Action feature "Create Shipments" does not incorporate the Ship From Multiple Warehouse Feature. Using bulk action in View Sales Orders will only create Shipments for the Sales Order Warehouse regardless of Stock Availability. For more details, see Create and manage Shipments.

Enable Ship From Multiple Warehouses

To use the Ship from Multiple Warehouses feature, you will first need to make sure it is enabled within your account's Company settings.

  1. From Unleashed's main menu, go to Settings, Company, and select the Settings tab.

  2. Toggle on the Ship From Multiple Warehouses feature

  3. Click Save.

Disable Ship From Multiple Warehouses

This Ship from Multiple Warehouses feature can be disabled at any time, provided you have no open Sales Orders with shipments assigned to various warehouses. Dispatch, delete or update the Shipment with the order's Warehouse first, then you can disable the feature in the Company Settings.

If there are open orders with alternative Shipping Warehouses the following error will display:

Create shipments from multiple warehouses

To create a Shipment from an alternative warehouse to your Sales Order's warehouse:

  1. Open the Sales Order and select the Order dropdown in the top right corner.

  2. Either:

    • Select Create Multi Warehouse Shipment.

    • Select Create Shipment, and if Sales Order warehouse does not have enough stock available to fulfil the Ship quantity, Create Multi Warehouse Shipment will be automatically triggered. A pop-up window for Create Shipment from Multiple Warehouses will appear, where you can select Yes to create a shipment from an alternative warehouse or No to create a shipment from the order's warehouse.

  3. A pop-up "Create Multiple Shipments" that lists the products still to be shipped will be displayed. By default, the items are collapsed, but click on the (+) icon to expand each order line to review and update the Warehouse and Ship Quantity.

  4. From the expanded section, you have the opportunity to select an alternative Warehouse and the Ship Quantity.

    • Warehouse & Availability: The drop down will list all warehouses and the product's available quantity within that warehouse.

    • Ship Quantity: Will populate the Order's quantity, but can be manually adjusted.


      NOTE: When the Order warehouse does not have enough stock, the remaining stock will automatically be assigned based on the highest warehouse stock availability. Unleashed will add as many warehouses as necessary to fulfil the order quantity, or as many as possible. This is not necessarily going to suit every order and the shipment warehouses can be changed before creating the shipments.

  5. If shipping a single product line from multiple warehouses, use the Add New Shipment link to add another shipment for that product line.


    Use the bin icon to remove any Shipments that are not needed.

  6. A running total of assigned quantities will be shown, per product, to confirm how much stock has been accounted for across your Shipments. Once all products have been allocated to an appropriate Warehouse, select Create Shipments.

  7. The Sales Order will update to show the Shipment(s) that have been created in Parked status, for the appropriate Shipping Warehouses, the order's Shipments tab.

Edit Shipping Warehouses

If a Shipment has been created for a Sales Order, you can update the Shipment's Shipping Warehouse by selecting as appropriate from the Shipping Warehouse drop-down menu in the Shipment's page.

The Shipment must be in Parked or Placed status to be allowed to update the Shipping Warehouse. If the Shipment is in Picking, Picked or Packed status, the Shipping Warehouse cannot be changed, in which case you will need to revert the status back to Parked or Placed, then update the Shipping Warehouse.

Serial and Batch Numbers in Multi Warehouse Shipments

Serial and Batch numbers will need to be assigned once the shipments are created. Only batch or serial numbers available in the Shipping Warehouse will be presented for selection.
