After a customer has been created, the Customer Code is saved and can only be changed via the Customers' Change Codes, found in the main menu via Customer > Change Codes. From there, you will have the option to provide a new Customer Code for existing customers one at a time, or you can update multiple Customer Codes at once using a CSV import.
Once a new Customer Code is saved, any previous transactions for the customer will update to reflect the new code, ensuring accurate and reliable reports and traceability.
π Note: Customer Codes must be unique across all customer records, including obsoleted customers.
Change an individual Customer Code
To change a single product's Customer Code:
From the main menu, go to Customers > Change Codes.
In the Single tab, use the *Customer field to search and select the customer using its current Customer Code. Use the magnifying glass icon to advance the search if needed. β
In the *New Customer Code field, enter the customer's new Customer Code.
Select Save.
Change multiple Customer Codes
To update the Customer Code for multiple customers at once, use the CSV template available in the Change Codes' Batch tab:
From the main menu, go to Customers > Change Codes.
Go to the Batch tab and click on the "Download Customer Changes Codes template".
In the Customer Changes Codes template, provide the current (old) and new Customer Codes, per customer, in the columns provided.
Return to Customers > Change Codes > Batch tab and import the Customer Changes Codes template using the grey upload tile.
Monitor the uploading progress via the Task bar in the top right of your page:
Orange circle: Upload in progress
Red cross: Upload failed (select the task for further details, you will also receive an email notification with further details).
Green tick: Upload successful (you will receive an email confirmation).β
Once the upload's completed successfully, the customer codes included will be updated.
Customer Change Codes log
A full log of the Customer Code changes that have been actioned against each customer will be listed in both the Customer Change Codes' Single and Batch tabs.
The log displays the following details:
Change Date: The date the customer code change was saved.
Old Code: The customer's previous code.
New Code: The customer's new code.
User: The user who actioned the change.
