The Serial Numbers Enquiry is a comprehensive reporting tool that allows you to track and monitor individual serial-tracked stock units throughout their complete lifecycle. This powerful feature provides both current availability status and detailed transactional history for each serial number in your system.

The Serial Numbers Enquiry is only accessible when the Serialized Products configuration settings.


Navigate to Reports > Inventory > Serial Numbers Enquiry from the main menu. Click the Run button in the top-right corner to generate a basic report with all serial-tracked inventory data, or apply filters first to focus on specific information.

Description

Warehouse

Use the drop-down menu to filter for the serial numbers of a specific warehouse.

Product Code

Filter for the serial numbers of a specified product by its product code.

Product Description

Filter for the serial numbers of a specified product by its product description.

Serial Number

Filter for a specific serial number. The enquiry will return all serials containing the entered text.

Serial Number Status

Use the drop-down menu to filter for serial numbers based on their availability status. The filterable options are:

  • All (blank)

  • Available: Use this when checking stock levels for order fulfilment or inventory counts.

  • Unavailable: Helpful for identifying serials that were fully consumed but may still appear in historical records.

  • Deleted: For audit trails and understanding what stock has been written off.


Understanding the Serial Numbers Enquiry

After setting your filters, click the Run button in the top right corner. The Serial Numbers Enquiry's grid will populate with matching results. If no results appear, verify your filter criteria and ensure you have serialized stock matching your parameters.

By default, the grid displays six key columns, described in the table below, each providing specific insights into your serials. The columns can be width-adjusted, rearranged and sorted by preferred order, but new columns cannot be added.

Description

Serial Numbers

Displays the product's serial number. Click on the serial number for a pop-up window displaying a detailed transaction history of the serial.

Product Code

Identifies the product that the serial numbers are for by the product code.

Product Description

Identifies the product that the serial numbers are for by the product description.

Warehouse

Displays the name of the warehouse the serial information is sourced.

Status

Indicates whether the serial number is available in your inventory or not (Unavailable or Deleted).

Date Added

Indicates the date the serial number was added to added to your Stock On Hand (SOH).


Using the Serial Numbers Enquiry

The Serial Numbers Enquiry transforms basic inventory tracking into a sophisticated business intelligence tool that supports operational excellence, regulatory compliance, and strategic decision-making across your entire organization.

Serial transaction history

Click on a product's serial number in the enquiry and a detailed transaction history pop-up will display, showing the complete lifecycle of that serial. The history includes the serial's transactional dates, reference numbers and transaction type, to establish a timeline of events for the unit of stock.

This comprehensive transaction view is essential for root cause analysis, compliance reporting, and providing detailed responses to customer or regulatory inquiries about specific products.

Export Batch Information

The Export functionality in the enquiry transforms your enquiry data into portable formats for external analysis, reporting, and compliance documentation.

Go to Reports > Inventory > Serial Numbers Enquiry > Export drop-down > Export Serial Information, transforms your enquiry's data, including transaction history in to a comprehensive CSV document. This detailed export capability transforms your serial number data into powerful business intelligence, supporting strategic decisions about suppliers, customers, and product performance while ensuring you can meet any regulatory or legal requirements for product traceability.

Alternatively, clicking the main "Export" button directly generates a CSV of the current Serial Number Enquiry's results without the transactional breakdown.
