Unleashed Dashboard

An introduction to the features and functions available on the Dashboard; a gateway into reviewing your business's performance to date.

The Dashboard page in Unleashed provides an overview of your business's current stock standing and performance in two views:

  • Business Intelligence (BI) Dashboard

  • Classic Dashboard

The BI Dashboard uses data processed through the Business Intelligence module to provide an interactive and dynamic analysis your business's performance over a selected date range. But for a more simplified overview of your business' progress, switch to the Classic Dashboard, which displays your data using a static set of parameters.

๐Ÿ“ŒNote: As the Classic and BI Dashboards were developed independent of each other they aren't expected to provide the same KPI results or figures. For instance:

  • The Classic Dashboard populates Sales data based on the transaction's Completed Date, including charges. Credit Notes, are not included in for the Classic Dashboard.

  • The BI Dashboard, populates Sales data based on the Invoice's Invoice Date, including charges and includes Credit Notes completed for the completed Invoices.

Switch your Dashboard view

By default, the BI Dashboard view will be displayed when you navigate to Dashboard from the main menu. To switch to the Classic Dashboard click on the three-dot icon displayed in the top right corner of the BI Dashboard view and select View Classic Dashboard.


BI Dashboard explained

The BI Dashboard uses the Business Intelligence module to provide a visual representation of key data and performance indicators (KPIs) in a consolidated and easy-to-view format.

By default, the BI Dashboard is filtered by the "Month to Date" date range and will display the "Unleashed Default" layout, which includes the following KPIs:

  • Top Performers

  • Sales Revenue

  • Total Customers

  • Stock on hand value

  • Created Purchase Order (PO) value

  • Total Assembly Cost

  • Gross Profit

  • Gross Profit %

  • Completed Assemblies

  • Sales Orders

  • Average Days to Sell

Within each KPI tile one of the following options will be displayed, to drill down further into the result for more context and detail:

  • Explore BI Vision: Displayed if BI Vision is included on your subscription.

  • Explore more: Displayed if BI Foundation is included on your subscription.

BI Dashboard filters and functions

In the top right corner of the BI Dashboard's view you'll find:

  • Date Range filter.

  • Dashboard Layout filter.

  • Custom Dashboard button.

Date Range filter

Use the Date Range drop down menu to filter the page's results by the date range select. If you're subscribed to BI Vision you can enter a custom date range, otherwise you can select one of the following pre-defined date ranges:

  • Month to date

  • Quarter to date

  • Year to date

  • Last month

  • Last quarter

  • Last year

Dashboard Layout filter

Use the Dashboard Layout drop down menu to display the BI data in one of the pre-defined, default layouts. Select from the following default options:

  • Company Overview

  • Production Status

  • Purchasing Management

  • Sales Progress

  • Unleashed Default

If you've created any Custom Dashboards or a Custom Dashboard has been shared with you, it will be listed in the Dashboard Layout filter too.

Custom Dashboard button

Use the BI Dashboard's Custom Dashboard button to create new default, shareable and custom dashboard layouts for your own unique view of how your business is performing. Choose from an array of KPI based widgets, across all of BI's contexts, to create the perfect view for you.

Transactions and Batch Expiry panel

At the bottom of the BI Dashboard you will find a partially hidden panel that can be fully displayed by clicking on "show" in the center of it's tab. This Transactions and Batch Expiry panel provides a summary of you business's open transactions based on the Dashboard's selected date range, high and low stock alerts for your current inventory and, if Batch Tracking is enabled, expired and soon-to-expired batches.

The transactions and stock alerts counted in the panel will automatically refresh every 15 minutes, but you can click on the circling arrow icon to manually refresh the panel's data. Click on any of the listed transactions, stock alerts or batch details in this panel and you will be directed to the appropriate pre-filtered report to further review it's context and position.


Classic Dashboard explained

The Classic Dashboard graphically shows key sets of data and transactional alerts over three date range options, to ensure your business processes are running smoothly. To select a date range to review, use the buttons available in the top right corner of the Classic Dashboard's page and select one of the following:

  • Year to date

  • Quarter to date

  • Month to date

Classic Dashboard's sales data source

Decide whether your Classic Dashboard will populate it's data based on Sales Invoices or Sales Orders. By default, the Classic Dashboard will use Sales Orders as the data source, but this can be changed at any time.

To update the Classic Dashboard's data source:

  1. From Unleashed's main menu, got to Settings and select Company.

  2. Go to the Details tab.

  3. Use the Dashboard Data Source dropdown menu to select either Sales Order or Sales Invoice.

  4. Click Save.

Profitability

The Profitability section of the Classic Dashboard allows you to easily view and keep track of how much money you're making by selling your inventory (stock) and services for a given period. The key profitability figures reviewed here are; Profit Margin by Product Group, Sales Revenue and Sales Margin, which include a percentage value, representing how the current figure compares to the previous period. Decreases are marked with a red arrow, increases with a green arrow and no change displays with a yellow dot.

Profit Margin by Product Group

The Pie Chart displayed in Profitability represents how much each Product Group contributes to the overall margin, for the selected date range. Up to the top nine Product Groups are individually identified, with the remaining Product Groups being consolidated into one additional wedge. This is an effective way to view what group of products is the most profitable.

Sales Revenue

The total revenue recorded in Unleashed including charges, is displayed in your base currency under Sales Revenue on the Profitability section; where Sales Revenue is calculated as the total sales minus credit for the selected period.

Sales Margin

The average margin percentage made per sale, for the date range selected, is displayed under Sales Margin in the Classic Dashboard's Profitability section.

Activity

The Activity section of the Classic Dashboard allows you to see how many sales you're making for a given time period. This is useful indicator to identify if there's any lull or improvement on your total sales activity. The key activity figures reviewed here are; Sale by Customer Type, Number of sales and Items per sale, which include a percentage value, representing how the current figure compares to the previous period. Decreases are marked with a red arrow, increases with a green arrow and no change displays with a yellow dot.

Description

Sale by Customer Type

The Pie Chart displayed in the Activity section displays the number of Sales that have been made per Customer Type. Up to the top nine Customer Types will be individually identified, with the remaining Customer Types consolidated in to an an additional wedge. This is an effective way to determine what type of customers are ordering more and sectors than can be focused on for improvement.

Number of Sales

The total number of sales that have been made for the given date ranged will be shown under Number of Sales will show your total number of sales for the date range selected at the top of the page.

Items per Sale

The Items per Sale will show you, on average, how many products are on each order for the date range selected.

Stock

The Stock section will show you two metrics:

  • Value of Stock: Displays your current stock value and compares that to the stock on hand based on the date range selected at the top. It will also show how this measures up to the previous period. Decreases will be marked with a red arrow, increases with a green arrow and no change with a yellow dot.

  • Purchases Value: The Purchases Value shown is the total purchases completed for date ranges selected, minus Supplier Returns. It will also show how this measures up to the previous period. Decreases will be marked with a red arrow, increases with a green arrow and no change with a yellow dot.

KPIs

In the KPIs section there are two metrics that alert a business to possible performance issues that can affect current or future profitability:

  • Stock Turns: Measures how many times the inventory is sold or used in the specified date range. The Stock Turns function shows how this measures up to the previous period. Decreases will be marked with a red arrow, increases with a green arrow and no change with a yellow dot.
    It is one of the best ways to know if you are overstocked, i.e. low turnover may show that you are overstocking, obsolescence or there are deficiencies in your product line or marketing effort. Conversely, a high turn over rate may show inadequate inventory levels etc.

  • Average Days to Sell: Measures how long it will take you, on average, to sell all your stock in the specified date range. It will also show how this measures up to the previous period. Decreases will be marked with a red arrow, increases with a green arrow and no change with a yellow dot.
    The Average Days to Sell is another key indicator of business performance as it shows how long this stock is sitting in stock on hand before it is sold.
    The calculation for Average Days to Sell is 365 / Stock Turn.

Calculating Stock Turns
Previous years Total Cost from the SOH Enquiry e.g 07/03/015 = 100.
Current years Total Cost from the SOH Enquiry e.g 07/03/16 = 150.

(Previous Years Cost + Current Cost) /2 = Average Inventory
100 + 150 / 2 = 125

Margin

The Revenue and Margin graph enables you to track revenue over time and compare it directly to the Margin you are making (Revenue is blue, Margin is Red). It is based on the specified period at the top of the page. It also shows how this measures up to the previous period. Decreases will be marked with a red arrow, increases with a green arrow and no change with a yellow dot.

Transactions

The Transactions area of the Classic Dashboard displays all outstanding transactions and alerts for each area of Unleashed. It enables you to be keep up with open Sales Orders, Purchase Orders and maintain suitable stock levels. It also helps identify parked transactions that are still yet to be processed.

  • Open Quotes: When selected, this brings you to a list of all open Quotes to be actioned.

  • โ€‹Open Sales: When selected, this brings you to a list of all your open Sales to be actioned.

  • โ€‹Open Purchases: When selected, this brings you to a list of all your open purchases to be actioned.

  • โ€‹Open Credits: When selected, this brings you to a list of all your open credits to be actioned.

  • Open Stock Adjustments: This brings you to a list of all your active stock adjustments.

  • High & Low Stock Alerts: When selected, by clicking either of the alerts, it will take you to the re-order report to drill down further and re-order where necessary. For example, if you click on the Low Stock link it takes you to the Reorder Report where you can replenish any low stock at a global or per warehouse level.


FAQ

Can the Dashboard figures be displayed in a report?

To review the Classic Dashboard sales data values with the Margin Enquiry:

  1. From Unleashed's main menu, head to Reports, Sales and select Margin Enquiry.

  2. Use the Date From and Date To filters to set the same date range as your Classic Dashboard.

  3. Select Run.

  4. At the bottom of the Margin Enquiry sum the Total Sell and Total Charge values, and this will match the Classic Dashboard's revenue.

To review the BI Dashboard sales data values with the Invoice Enquiry:

  1. From Unleashed's main menu, head to Reports, Sales and select Invoice Enquiry.

  2. Use the Transaction Date filter to select Invoice Date.

  3. Use the Date From and Date To filters to set the same date range as your BI Dashboard.

  4. Use the Status filter to select Completed.

  5. Tick the Include Credits checkbox.

  6. Select Run.

  7. At the bottom of the Invoice Enquiry sum the Total Revenue and Total Charges values, and this will match the BI Dashboard's revenue.

Can I customise the Classic Dashboard?

The Classic Dashboard is a static page that cannot be edited or customised. The only changes that can be made to the Classic Dashboard is to update the date range filter between the following options: Year to Date, Quarter to Date and Month to Date.

Why is the Sales Revenue different between the Classic and BI Dashboard?

The Classic Dashboard calculates the sales revenue as: Sales Revenue = Sales + Charges, based on the transaction's Completed Date.

The BI Dashboard calculates the sales revenue as: Sales Revenue = Sales + Charges - Credits, based on the transaction's Invoice Date.

Can the background and banner colours of my pages be customised?

It is not possible to customise the banner, menu or background colours used in your account's pages.
