BI Vision's Targets and Tracking feature empowers you to set realistic sales goals, monitor your progress, and receive automated notifications about your performance. This powerful tool helps you stay on top of your business metrics by comparing actual results against your targets and providing timely insights through customizable email notifications.

Whether you're tracking sales revenue, gross profit, or monitoring operational metrics like low stock alerts, this feature provides the visibility and accountability needed to drive business growth.

Key Features:

  • Set monthly sales revenue targets for the current financial year.

  • Track year-to-date achievements against targets.

  • Receive automated email notifications with performance updates.

  • View comprehensive performance dashboards.

Important:

  • Any changes made to the Users will take up to 2 hours to reflect in Notification Management’s Recipients pop-up list.

  • The count of transactions listed in the update email, when you include Batches Expiring, Low Stock products and Open shipments, could be out of sync by an hour due to the refresh delay between BI and Unleashed core.

  • Actual values for Sales Revenue, Gross Profit and Gross Profit % displayed on the BI Vision Plus page may not match with values on the BI Vision page for the same Year To Date or Last Year selection. The Sales Revenue sum in BI Vision Plus takes into account completed invoices and credits, while BI Vision also includes charges.

  • Depending on the user's Default System setting (on their pc) the URL in the email notification for "notify the sender" may redirect users to a new browser instance rather than a new email draft.

  • Presentation of styling may vary from browser to browser. Our supported browsers (Chrome and Edge are consistent).

Role Permissions

Superusers automatically have full access to all BI Vision Plus features. Other users need specific role permissions to access these features:

  1. Go to Settings > Security > Role Permissions.

  2. Select the user role you want to configure.

  3. Go through Business Intelligence > BI Vision > Sales, unlock Targets, and enable it as "Can Edit".

  4. Go through Business Intelligence > BI Vision > Targets and Tracking and unlock the following permissions:

    • Targets and Tracking

    • Notifications

    • Targets

Targets

To access BI Vision Plus' Targets and Tracking features, go to Business Intelligence > Targets and Tracking. By default, you'll be shown the Targets tab, which provides several key elements:

  • Context Selection: Currently only available for Sales.

  • Measure Selection: Choose from Sales Revenue, Gross Profit, or Gross Profit %.

  • Date Selection: Set targets for Current Year, Last Year, or Next Year.

  • Monthly Grid: View and edit targets for each month of the selected period.

Set up targets

To establish targets for your business' performance:

  1. Go to Business Intelligence > Targets and Tracking.

  2. Select Sales in the context dropdown.

  3. Choose a measure the target will be set for:

    • Sales Revenue

    • Gross Profit

    • Gross Profit%

  4. Select a time period the target will be set for:

    • Current year

    • Next year

    • Last year

  5. For each month in the grid, enter the target value in the Selected Year Target column.

After you have set up a target, you will be presented with a confirmation pop-up window. In the confirmation, you will be asked if you would like to be notified of your target's progress. The response options available are:

  • Notify Me: A notification rule will be created to send you a weekly email, on Monday mornings at 8:00am.

  • Skip: No notification rule will b created.

Quick population methods

  • Apply Previous Year's Results: Use the left-hand checkboxes to select months and use the action cog icon to select "Apply previous year's actual results as targets".

  • Apply to All Months: After entering your first target, use the right-hand action cog to select "Apply the same value to all remaining months".

  • Mid-Year Adjustments: Enter a new target for the first month of an increase, then use the right-hand action cog to select "Apply target to following months" to update the rest of the year.

Best practices

  • Review the previous year's performance before setting new targets.

  • Consider seasonal trends when setting monthly goals.

  • Start conservative and adjust as you learn more about your business patterns.

  • Set targets that are challenging but achievable to maintain team motivation.


Notifications

BI Vision's notifications keep you informed, via email, about your progress without requiring you to manually check the system. They're perfect for busy business owners who need regular updates delivered directly to their inbox.

📌 Note: There is a limit of 20 notification rules per account.

Create a notification rule

  1. Go to Business Intelligence > Targets and Tracking.

  2. Go to the Notifications tab.

  3. Set up the rule's name, e.g., "Weekly Sales Update".

  4. Frequency: choose either:

    • Daily

    • Weekly

    • Monthly

  5. Time: select a specific day/time based on your frequency choice.

  6. Recipients: select users who should receive these updates

  7. Date Periods: select the date range the notification will be generated for.

    • Month To Date: Best for daily/weekly rules and transaction monitoring

    • Year To Date: Ideal for comprehensive performance tracking.

    • Last Month: Perfect for monthly summaries on the 1st of each month.

  8. Select components for

    1. Sales Context:

      • Gross Profit (KPI)

      • Gross Profit % (KPI)

      • Sales Revenue (KPI)

      • Top 5 Customers - Sales Revenue

      • Top 5 Products - Sales Revenue

    2. Transactions Context:

      • Batches Expiring (30-day alert)

      • Low Stock Alerts

      • Open Shipments

  9. Click "Add" when all fields are completed. The rule will be set to Active status automatically

Notification rule examples

Daily Operations Monitor:

  • Name: "Daily Operations Check"

  • Frequency: Daily at 8:00 AM

  • Date Period: Month To Date

  • Content: Low Stock Alerts, Batches Expiring, Open Shipments

Weekly Sales Performance:

  • Name: "Weekly Sales Review"

  • Frequency: Weekly on Monday at 9:00 AM

  • Date Period: Year To Date

  • Content: All Sales KPIs, Top 5 Customers, Top 5 Products

Monthly Executive Summary:

  • Name: "Monthly Executive Report"

  • Frequency: Monthly on 1st at 7:00 AM

  • Date Period: Last Month

  • Content: All Sales KPIs and Top 5 reports

Manage existing rules

To edit a notification rule:

  1. Go to Business Intelligence > Targets and Tracking.

  2. Go to the Notifications tab.

  3. Click "Edit" in the action column.

  4. Modify any field (name must remain unique).

  5. Save changes to update the rule.

To pause a notification rule, useful for vacations or temporary changes:

  1. Go to Business Intelligence > Targets and Tracking.

  2. Go to the Notifications tab.

  3. Click "Edit" in the action column.

  4. Untick the status checkbox.

  5. Save to deactivate.

To reactivate a notification rule:

  1. Go to Business Intelligence > Targets and Tracking.

  2. Go to the Notifications tab.

  3. Click "Edit" in the action column.

  4. Tick the status checkbox.

  5. Save to activate.

To delete a notification rule:

  1. Go to Business Intelligence > Targets and Tracking.

  2. Go to the Notifications tab.

  3. Click "Delete" in the action column.

  4. Confirm deleting.


BI Vision Plus

Vision Plus provides a comprehensive dashboard view of your target performance.

You can access the BI Vision Plus dashboard in one of two ways:

  1. Go to Business Intelligence > Targets and Tracking.

  2. Click on the BI Vision Plus button.

Or

  1. Go to Business Intelligence > Sales.

  2. Go to the Vision Plus tab.

This is your main performance overview that shows targeted metrics side-by-side:

  • Sales Revenue KPI: Shows your actual sales against your target, typically with a percentage completion (e.g., "85% of target achieved")

  • Gross Profit KPI: Displays your actual profit margins compared to your profit targets

  • Gross Profit % KPI: Shows your profit percentage performance against your target percentage

  • Timeline Chart: A line graph showing cumulative progress month by month, comparing your actual performance with your target line.

  • Grid View: A detailed data table that shows the numbers behind the visuals.

Click on the download icon in the Timeline chart and Grid View components to export the component's data into a shareable format.

Alternatively, go to the three-dot icon in the top right corner of BI Vision Plus, select the Screenshot drop-down menu and export the whole BI Vision Plus page as a PDF or PNG format.

This is your detailed data table that shows the numbers behind the visuals:

  • Monthly Breakdown:Each month shows: Target vs Actual vs Variance

  • Cumulative Calculations: Running totals showing year-to-date progress, percentage achievement calculations, and variance analysis.
