Per Warehouse Controls

The Per Warehouse Control function can be found under Settings> Company> Configuration.

When enabled, Per Warehouse Controls allows you to set up high and low stock alerts for products per warehouse, helping you to reorder stock efficiently and effectively.

Per Warehouse Controls enabled

If the Per Warehouse Controls is switched ON, you can:

  • Set up minimum and maximum stock levels for your products per warehouse. These levels then trigger alerts shown on the dashboard and the Reorder Report to identify high (over max) or low (under min) stock levels.

  • You can set a single bin location per warehouse to help you locate the stock within each warehouse.

To set min and max stock levels and a bin location per warehouse you can either:

  • Update the Inventory tab in each product's record.

  • Use the Import Inventory Details template to update multiple products in bulk.

Per Warehouse Controls disabled

If you decide to have Per Warehouse Controls switched OFF, Global Warehouse Controls will be on, which means:

  • You are able to store a product in more than one warehouses within your account.

  • You are able to manage stock on hand quantities within each warehouse.

  • You will not be able to set min and max stock levels or bin locations on a per warehouse basis for a particular product.

  • You can set your minimum and maximum stock levels per product across all warehouses collectively (globally).

To set a min and max stock level per product, to apply across all warehouses globally, you can either:

  • Update the Inventory tab in each product's record.

  • Use the Import Products template to update multiple products in bulk.

Although you are able to enable/disable the Per Warehouse Control function any time, changing the setting has some major impacts:

  • Stock alerts found on the dashboard and reorder report are calculated based upon this selection the Per Warehouse Control setting.

  • Bin locations will be wiped from all products when Per Warehouse Controls are disabled.


Use Per Warehouse Controls

Reordering when stock is low

When the Per Warehouse Controls are enabled and you've set min and max stock levels per product and warehouse, you can use the Reorder Report to identify which products are running low and need to be ordered or assembled. To do so, simply go to your Reorder Report, under Reports > Purchases, filter the Stock Level to Under Min and Run. The report will then display the products that have stock availability below their advised min stock level, and it'll suggest how much stock should be purchased to replenish what's available.

Dashboard alerts

When the Per Warehouse Control is enabled and you've set min and max stock levels, the Dashboard page will display an alert to highlight how many products are running high or low in stock.

When the Per Warehouse Control is disabled and Global Warehouse controls are used instead, the dashboard alerts are calculated at a global warehouse level, e.g., across 3 warehouses, you have low stock = 1 alert.

Bin Locations

Only one bin location field is available per product per warehouse when Per Warehouse Controls are enabled. You are able to list multiple locations within one bin location field; however, there is no way to separate stock quantities further than the warehouse.

The Bin Location detail is not available on the Reorder Report, but it is available to include in:

  • Doc Designer templates

  • View Products

  • Stock on Hand Enquiry
