Meeting Notes from Voice Memos, Filed Directly to Your CRM

How to dictate meeting notes and have Unplex file a structured summary directly into your CRM record.

1. Overview

Rather than typing up meeting notes after a client conversation, a voice memo can be dictated and filed as a structured result directly into the CRM record — without manual write-up or copy-pasting between tools.

2. Procedure

  1. A voice memo is recorded following a client meeting or call, or dictated directly inside Unplex.

  2. Unplex transcribes the memo and structures it into a meeting note: attendees, topics discussed, decisions, and follow-up actions.

  3. The structured note is written directly to the relevant client or mandate record in the CRM; no export or separate document is created.

  4. Follow-up actions identified in the memo can optionally be created as tasks assigned to the responsible team member.

3. Rationale for Direct CRM Filing

A note kept in a separate application is easily overlooked or never reaches the client file. Filing directly into the CRM (Vertec, Assetmax) places the note where colleagues will look for it, as part of the same audit trail as the rest of the client relationship.

4. Review Step

A review step can be configured so the structured note is presented before being written to the CRM — useful while confidence in the structuring output is being established. Once confidence is established, this step can be disabled for faster turnaround.

5. Enabling This Workflow

This workflow is available from the project dashboard under Meeting Notes. Where it is not visible in a workspace, a workspace Admin can enable it.
