General Questions


What is the vaccine mandate?

On September 9, President Biden announced that his administration would implement a strategy to enact his plan to require all employers with 100 or more employees to effectively ensure that all employees are fully vaccinated against COVID-19 or produce a negative test result at least every week prior to coming to work, with approved exemptions for medical or religious reasons. The Vaccine Verifier was developed to help employers manage this new body of work.

What is Vaccine Verifier Solution?

Vaccine Verifier Solution eases the burden of the federal vaccine mandate by allowing you to manage vaccination status verification, exemption requests and testing compliance, all through a simple online tool that provides:

  • A simple online portal to collect vaccination status details and documentation upload (if required)

  • Exemption request intake and decision guidance support

  • COVID-19 testing tracking and compliance management

  • Safe and secure vaccination record management and document storage

  • Detailed reporting capabilities

Although the Vaccine Verifier gathers the information regarding exemption requests and provides decision guidance, is it still the responsibility of the employer to determine who is exempt?

Yes, while the solution helps to inform your decision by asking appropriate questions, gathering information, and providing decision guidance, the eventual decision reached is your responsibility and owned by the employer.

Setting up and Launching the Vaccine Verifier


Which fields of the roster file are required to include to ensure a successful upload?

Both the employee ID field and at least one employee email address are required (can be either work email or personal email address). However, we recommend also including the employee’s first and last name. Review the Vaccine Verifier Roster Guide for more information.

How do employees without email addresses sign up for and participate in the Vaccine Verifier?

Employers will either need to collect missing information from employees before uploading the Full Roster File, or provide employees contact information for an internal Vaccine Verifier admin to create their account manually with the supplied information.

Can I change the email address associated with an employee?

It is currently not possible to change the email address associated with an employee’s account. To update an employee’s email address, a new user must be created for the individual (either manually or via roster upload) and the old user account must be suspended from the “Users” screen.

What if an employee does not have access to a computer or smartphone? How do they participate in the Vaccine Verifier?

An internal Vaccine Verifier admin can update an employee’s vaccination records to accurately reflect content that the employee is unable to provide due to being unable to access the solution.

How will the employee roster be managed after the initial upload?

Employers will have the ability to add new hires (and/or update terminations) to the tool by uploading a new full roster file. You may decide how frequently to upload a new file depending on your business needs.

Is there a limit to the number of employees or administrators that can be added?

No. Super Admins will be able to add additional Admins.

Once I’ve submitted the Set-Up Survey, how long will it be before I can expect for the solution to be delivered?

It’s anticipated that your solution will be delivered within 1-2 weeks of submitting your completed Set-Up survey, however the team will try to get it to you even sooner!

If my company is not using all modules (i.e testing, exemption, etc), how will this be reflected in the solution?

If your company has not enabled a particular module, the tiles corresponding to these features will remain visible, but will be greyed out and inaccessible from within the solution.


Features & Functionality


How does the solution capture and validate vaccination status?

This information is gathered via employee submitted responses to questions regarding their vaccination dates, vaccine manufacturer, and lot number. Additionally, employees will have the ability to upload documented proof of vaccination. The Vaccine Verifier requires that the employee attest to being truthful and accurate.

How are medical or religious exemption requests verified within the solution?

If an employee requests an exemption, the solution will prompt them to provide responses to various questions aimed to substantiate the legitimacy and need for their request so that you as an administrator can make informed decisions. The solution will house this information for the administrator to review internally with the help of in-app decision-making guidance. The solution will also allow employees to upload medical documentation for administrators who require more stringent certification. The employer is responsible for making the final decision regarding exemption requests.

Can I approve a previously denied exemption request?

It is not currently possible to approve a previously declined exemption request. Instead, a new request must be submitted and in turn approved.

How does the Vaccine Verifier validate the authenticity of a vaccination card or COVID-19 test result?

The employee will answer questions about their vaccination dates, the manufacturer, and lot number and have the ability to upload documented proof of vaccination. The Vaccine Verifier will require the employee to attest to being truthful and accurate.

Can an administrator manually update an employee’s vaccination status within the solution?

Yes, an administrator can manually update any employee’s vaccination status by viewing the specific employee’s Employee Details page.

Can I upload existing vaccination status in bulk rather than the administrator or employee updating them individually?

Not yet. We are currently exploring ways to upload data in bulk.

How often will unvaccinated employees need to submit an updated COVID-19 test result? How are these due dates calculated?

The solution will prompt the employee to submit a new test result weekly from the date that their last test result was submitted.

How are employees notified when they are scheduled to receive an upcoming vaccine dose?

48 hours prior to a scheduled dose, the solution will send employees an email reminding them to receive the dose and log back in to update their vaccination status/upload an image of their vaccination card.

What type of reporting will be available and how will it be accessed?

You will see high level reporting on vaccination status, exemption requests and status, testing status and employee registration status when you log in as an administrator. These views can be filtered by the locations provided in the roster file. Click here for more information.

How soon can a report be downloaded after new information is uploaded to the solution?

Newly submitted data is batched nightly to allow reports to be generated the following day after submission.

Will the Unum Vaccine Verifier allow for customization?

The initial, standard offering is built using best-practice, compliant questions to gather the information that employers need. Customizations are not available.
