How to Install and Use Updox Print to Fax

How to Install the Updox Printer (Windows) (Updox Knowledge Base)

Audience: Clinical staff or IT administrators setting up print to fax on Windows devices (not compatible with ARM-based processors).


Note: This printer does not support ARM-based Windows devices.


Step-by-Step Installation Guide

  1. Download and Install the Updox Fax Printer. Click the button below to download the installer (Windows Only) or follow the link here.

  2. Unzip and extract the installer files to your Downloads folder

    • Right-click the downloaded ZIP and choose Open

    • Unzip the file to access each installer. This is done by checking the box next to the zipped files and selecting Extract all. Choose your Downloads folder (or another location) for extraction, and check “Show extracted files when complete”.

    • In the extracted folder:

      • Double-click Updox.Fax.Desktop.64.bit to install the printer driver. Once finished, you'll see a new printer named Updox Fax in Windows.

      • Next, run the updoxfax Setup installer (the filename includes the current version number). This installs the Updox Fax application.

    • If a security alert appears during installation, click “More Info”, then “Run Anyway” to proceed.


Configure Your Printer Settings

  1. Open the Updox Fax application and access the Settings.

  2. Authenticate using one of the following:

    • Practice Integration Key: Found under Admin > Practice Information in your Updox account, especially for faxing as the practice.

    • Username and Password: Fax privately without needing the integration key.

    • Note: Using both methods simultaneously will cause failure—choose one only.

  3. Optional toggles:

    • Install updates on exit — keeps your printer current.

    • Auto-close after fax complete — closes the app automatically to save a step.

  4. Click Test Connection:

    • If successful, you'll see a “Well Done!” notification.

    • If you get error 401, re-check your credentials.

  5. Click Save and Close to finish configuration.


Send a Fax

  1. Open any document (e.g., from your EHR, website, or another application).

  2. From the print menu, select Updox Fax.

  3. The Fax Composer window will open—specify:

    • Recipient’s fax number or contact name from your Updox Address Book.

    • Optional: Select Include Cover Sheet and pick a style.

  4. Click Send Fax—a progress window appears. It may disappear quickly but will reappear if an error occurs.

  5. After sending, you may log into your Updox account and check the Sent folder to view your sent fax.

    • In the Sent folder, review the status of your fax.

    • For confirmation or delivery proof, click Retrieve to access a confirmation page.

    • To resend, open the fax and click Send Item again.


Troubleshoot Common Issues

  • Missing or incomplete configuration?

    • Use the warning links in the Updox Fax app to access settings. Failed faxes?
      These appear in your Updox inbox along with the failure reason. You can retry sending or update the fax number.

  • Oh snap! No pdf specified. Click here to select a pdf now.

    • This message will appear when the application is opened on its own.

    • Items can be attached and faxed by clicking on the Click here to select a pdf now link and then selecting the saved document you’d like to fax.

  • Heads up! An application update is available! Install now.

    • You may also see a blue info box alerting you that an update is available.

    • Go ahead and update the application by clicking Install Now.

  • Document size limits?
    You can send up to 400 pages, though large files may take longer. For better performance, consider the Updox Central or Virtual Printer.
