Carfax is one of our easiest and coolest integrations. You simply go to "Integrations" in the side menu and click the green "Connect" button. No need to create your Carfax account yourself because Urable sends the necessary information over to Carfax to generate your account on their backend.
A few things need to be in place in order for your Carfax integration to work correctly:
You must be on the Pro or Enterprise Plan
You must click the green “Connect” button in the side menu under “Integrations’
You must add Carfax descriptors to your services in your products/services page (see screenshot below)
click into any service, click the 'edit' icon and “Additional Options” and select from the Carfax provided list as to how you want your service represented.
MAKE SURE YOU DO THIS SO YOUR SERVICES ARE ACCURATELY REPRESENTED IN THE CARFAX HISTORY.
Once descriptors are added to services, it will only take effect from that point forward and will not retroactively be applied to jobs previously created
to add descriptors to a job previously created:
go to the job,
click 'edit' in the line item section
click the 3 dots to the right of the line item (the service)
"Delete."
click "Select Products/Services"
add that same line item back into the job
click the green checkmark to "Save."
**This job should now have the descriptors attached to the service(s) even though it was created before you added those descriptors in Products/Services.
IMPORTANT: if you have no descriptors attached to your services when the job is marked "Completed," Carfax will try to match the job that was done based on the Name of the job or the information in the service description field. If they can't find a suitable match, they will send over simply "Vehicle Serviced."
You must enter the VIN for the vehicle you are working on
If you forgot to enter the VIN when you created the job, you can send this to Carfax manually by going to the job and clicking "Metadata" (top right).
Scroll down to the Integrations section and click "Send to Carfax."
Marking the job "Complete" in Urable will trigger the report to be sent to Carfax
If the service has already been marked "Completed" when you initiate your Carfax integration, you can use the SEND TO CARFAX button in the Metadata of the job to have this information sent over (see screenshot).
NOTE:
SENDING STANDARD SERVICES TO CARFAX: for standard services like oil change, transmission fluid, spark plugs, brakes, etc., those are very easily handled by Carfax (from the line item title and description of the service that we send to them) and it isn't necessary for us to force an association (through a Carfax 'descriptor'). So, if these line items for standard services are added to the job, they will be automatically added to Carfax.
It takes about a week for services to show up in Carfax after the service is completed.
It takes a month or more for "branding' to display in Carfax
The Carfax integration is not available during the free trial. This was Carfax's rule, not ours. Because we're creating your Carfax account on their backend, they requested to only allow that once a business is subscribed.
If your Urable account is suspended due to insufficient funds, your Carfax integration will disconnect. You will need to go back in and integrate with them again after your account is up and running.
Carfax will assume you are closed and suspend your account if you don't send records to them after a certain period of time.
Scanning in or manually entering a VIN in Urable happens outside of Carfax. If you are integrated with Carfax, then once you enter the VIN, Carfax will bring in the Make - Model - Year - Trim, and the vehicle's service history.
Once a service report is sent to Carfax after the job is marked "Completed" it will show "Sent" in the Metadata of the job down in the Carfax section (see screenshot)
CARFAX CAR CARE: The customer can get this free customer facing app from the App Store or Google Play Store. Once they download it and enter the VIN, they can look up their vehicle's service history, who performed the service(s) and the date of the service(s).
Scanning the VIN:
Here is a list of helpful tips that we’ve come up with when scanning VIN's
1. Make sure lighting is good
2. Make sure shadows within the image are at a minimum
3. Make sure you hold the phone parallel to the surface the barcode is on. Try to get it square on.
4. Try to use the little flashlight that we have in the lower left corner of the scanner
5. Cover any other barcodes that might be in the field of view of the camera
6. Make sure you are using the app on your mobile device and not a browser
7. Make sure you are on the latest version of the app
8. Make sure you have downloaded the latest software (operating system) on your mobile device
9. Make sure you are not scanning the VIN through the windshield. The scanner is not doing character recognition, it is a barcode scanner. So you need to scan the VIN barcode that is generally in the driver's side door jam.
10. Try scanning the VIN with your phone straight up and down, even if you don't get the entire VIN in the frame.
11. Allow Urable to access your camera in your phone's settings.
