Mass Messaging/Marketing (SMS & Email)

Create SMS and email campaigns to alert your customers to upcoming sales and specials that your business will be offering.

NOTE:

  • only admin can create mass messaging campaigns

  • in order to have access to mass texting, you must activate, or have activated, a toll free number in Urable

    • campaign messages cannot come from the default Urable number

  • in order to have access to mass emailing, you must verify, or have verified, your email or email domain

  • mass texting is only available in the U.S. and Canada

  • mass emailing is available for everyone

  • The structure of the opt in process is to ensure that all Urable businesses are in compliance with the Telephone Consumer Protection Act

Opting in/out of receiving mass TEXT messages:

  • IMPORTANT: Strive to put your best foot forward with your initial campaign message as this is your chance to show the value and intention of these messages so customers will want to opt in

  • even though your 'automated/job related messages' and 'mass messages' will come from the same number, your customers can opt in or out of one independent of the other

    • for example, if your customer decides not to opt into promotional mass messages, this will not opt them out of appointment reminders, service follow up reminders or any job related requests unless they also choose to opt out of those

  • these toggles are "on" by default

  • existing customers are temporarily opted in to receive your promotional mass texting messages

  • automatically appended to the end of your first text in each campaign is this language: "Would you like to receive updates and offers like this one in the future? Reply Y to opt in or N to opt out."

  • as soon as this first mass text has been sent out, the toggle for receiving exclusive offers and news for all of your already existing customers will immediately turn "off"

    • if a customer replies to your text with "Y" or "Yes" it will turn that toggle "on" for that customer and they will continue to receive mass messages from you in the future

    • if a customer replies with "N" or "No" it will keep their toggle turned "off" and they will not receive any mass messages from you in the future

    • if the customer doesn't reply at all (no reply) we will leave their toggle turned "off" and they will not receive any mass messages from you in the future

    • in all subsequent mass texts after the initial one, the standard language of "Reply STOP to opt out" will be appended to the end of each

NOTE: Customer's profile page will show if they have opted in or out of both types of messages:

  • OTHER PLACES WHERE CUSTOMERS CAN OPT IN/OUT:

    • when adding a customer internally

    • in the Virtual Shop

    • on Custom Forms

MASS EMAILING OPT IN/OUT:

  • When it comes to MASS EMAILING, there is no opt in process, but customers can opt out of your emails by clicking "Unsubscribe" at the bottom of each email

MASS MESSAGE CAMPAIGN ALLOTMENTS/PRICING:

  • if you are sending a message to more than five (5) customers, it will be considered a "Campaign" and will not be covered by the two-way texting plan

    • five or fewer messages will be seen as five individual messages and will not be a part of the mass messaging functionality and will be covered by the two-way texting plan

  • each campaign will be paid for at the time of deployment and the price will depend on the number of customers you are messaging once you exceed your plan's monthly allotment, which will reset on the 1st of every month

    • Enterprise - 1500

    • Pro - 1000

    • Express - 500

  • the price for exceeding your monthly allotment:

    • 2 cents per text

    • .02 cents per email

  • you can send out a maximum of 10,000 messages per campaign

SELECTING CUSTOMERS FOR YOUR MASS MESSAGES:

  • go to the Message Center and click "New Message"

  • NOTE: along the top of the 'New Message' window, you'll see where you're at in the monthly allotment of free campaign messages

  • click "Select Customers"

  • you can "Select All" or use the filter icon to filter down to a certain sub-group of customers (status, type, origin, color label, custom lead form, date range created or completed), or you can search for a customer, vehicle, property section, etc.

  • if you'd like to select customers based on their GEOGRAPHICAL AREA, go to the "Map" view on your calendar and select "Message" in the tool bar. This will layer all your customers onto the map and you can either manually select a handful of customers or use the double checkmark button to select all customers within a desired map view. Once you select all customers that you'd like to include in a given campaign, any customers that don't have the necessary contact information based on the type of campaign you are creating, will be automatically excluded

SENDING YOUR MASS MESSAGES:

  • once you select your customers you can either send the messages immediately or schedule the messages to be deployed at a later date or time

    • IF YOU CHOOSE TO SEND THE MESSAGES IMMEDIATELY:

      • make sure to toggle "Send immediately" "on" under "Schedule"

      • an alert box will appear showing how many campaign messages will be deployed and what it will cost you if it exceeds your monthly free allotment

      • if you select "Yes" to 'Confirm' that you want to send the messages and if it costs more than $0.00 (because you have exceeded your monthly allotment), the card you have on file for your subscription will be charged for this

      • at this point the status of the campaign will be "Processing" while the payment processes

      • then it will change to "Deploying" as it sends out each of your messages

      • once all messages have been sent, the status will change to "Deployed"

      • once deployed, you won't be able to make any changes to the message

    • IF YOU CHOOSE TO SCHEDULE THE MESSAGES:

      • make sure to toggle "Send immediately" "off" under "Schedule"

      • enter the date and time

      • button in the top right changes to "Schedule"

      • when you click "Schedule" a slightly different alert box comes up

      • since you won't be charged until the scheduled date/time, this message gives you the approximate cost of the campaign should you exceed your allotment

      • this cost will be subject to change if you send out any other campaigns before this one is scheduled to deploy that would cause you to cross over your campaign allotment

      • once you click "Schedule" the status will change to "Scheduled" and you'll see the deployment date to the right side of the campaign

      • while a campaign is in the "Scheduled" status, you can make edits to the message or delete it if you no longer wish to send it out

      • on the day/time of the scheduled deployment, the status will change to "Processing"

        • your card on file will be charged (if there is an amount due)

        • if the payment succeeds the status will change from "Processing" to "Deploying" and then to "Deployed"

        • if your card fails the status will change to "Failed"

        • you'll need to change/update your payment method and click into the campaign and "Retry Payment"

NOTE:

  • at this time you cannot send out any images in these text or email messages but you can include links to webpages or Youtube videos

    • with email campaigns the link will be hyperlinked on a mobile device but will not be hyperlinked in a browser

    • with text campaigns the link will be hyperlinked on your mobile device

  • Customers will be able to respond to messages sent out in a campaign

    • if they respond to a 'text' campaign, that message will show up in your Message Center

    • if they respond to an 'email' campaign, that message will show up in your business email's inbox

  • text that you enter for mass emails will be put into the Urable email template, which is the same that your long-term reminders go out in (eventually you will have the ability to upload your own email template)

  • For Metadata information on the campaign just go to the Message Center, click "Campaigns" and then click on the individual campaign
