Repeat Jobs

For ease of scheduling, Urable allows you to build repeat jobs. Below you will find information on:

  1. Setting up a repeat job

  2. Short-term reminder messages with repeat jobs

  3. Editing a repeat job

  4. Adding a 'Note' to a repeat job

  5. Ending a repeat job

Setting up a repeat job:

  • click "ADD" > "Quote/Job" and build out a normal job

  • scroll down to the bottom of the 'Schedule' section to the "Repeat" section

  • first, toggle on "Repeat job"

  • second, enter the 'Interval' number (1, 2, 3, etc.) to set the frequency of the job

  • third, select the 'Frequency' of the repeat job (weekly, monthly, yearly, etc.)

    • NOTE: if repeating monthly (to avoid date landing on a weekend) you will be presented with whatever day you are booking on ("First Friday of the Month" or "Second Tuesday of the Month"......see screenshot below)

  • finally, select yes or no with 'Indefinitely' for how long you'd like the repeat job to last (if 'no' you will be presented with a schedule to set an end date)**

    • for example: with a frequency of weekly and an interval number of 2, this will set up a job for every 2nd week or bi-weekly

    • for example: with a frequency of monthly and an interval number of 3, this will set up a job every 3rd month or quarterly

**When you set a repeat job to 'indefinite' it will, by default, repeat that job a year out on your calendar. As each job's start time is reached, it will automatically create and append a new job in the repeat series a year out from that.

Short-term reminder messages and repeat jobs:

So as not to inundate your customers, here is how short-term reminder messages are handled with repeat jobs:

  • First job in the series will get all (4) reminders, if toggled on:

    • Job Scheduled

    • Job Reminder (send up to 3)

    • Job Completed

    • Rate & Review

  • For all future jobs in the series, just the "Job Reminder" message and "Job Completed" message are kept on by default

  • When a repeat job is rescheduled:

    • if the "Job Reminder" toggle is "on" for this job and there is a schedule change, the "Job Scheduled" message will be triggered to go out on that next job

    • if the "Job Reminder" toggle is "off" for this job and there is a schedule change the "Job Scheduled" message will not be triggered to go out on that next job

    • ****The logic is that if a customer does not want "Job Reminder" messages, they also do not want "Job Scheduled" messages. It's a funny little thing but that is the reason it is set up this way.

    • NOTE: the "Job Reminder" message won't be auto deployed with a schedule change if you are within the timeframe in question (for example, it is a 24-hour reminder but the job is rescheduled within the 24 hour timeframe)

Editing a repeat job:

  • each job in a repeat series is technically its own individual job with its own job number

  • changes, such as adding additional line items to the job, can be made to just one job in a repeat job series by going to that job and clicking 'edit' and adding those line items

  • this will not impact any other jobs in the series

  • changes that will impact other jobs in the series include schedule changes such as changing a repeat date

  • when you change a date for a job in a repeat series you will be prompted by "Apply changes to all following recurring jobs?"

  • if you answer "yes" then all future repeat jobs will be moved to the new day/date and update the sequence

  • if editing a customer address on a repeat job:

    • go to the next job in the series and update the address in the customer section

    • click 'edit' in the "Schedule" section and toggle off 'repeat"

    • click the green "Save" checkmark

    • click 'edit' again the "Schedule" section and toggle on "repeat"

    • click the green "Save" checkmark

Adding a 'Note' to a repeat job:

  • If you add a note prior to repeating the job, then when you repeat it, that note will exist in all jobs in the series

  • If you add a note to a job that is already repeated, then it will just add the note in that one job

  • If you'd like to add the note to all jobs in a repeat series, then go into the next occurring job in the series, in the Schedule section, click Edit, turn off the repeat function, save that, and then go down to the notes section and add your notes. Then go back to the Schedule section, edit, and re-repeat it

Ending a repeat job:

  • to end a repeat job series just go the the job that you want to be the last for the customer

  • click into the job and click the 'edit' icon in the "Schedule" section

  • toggle off "Repeat" and click the green checkmark to end the repeat series after this job
