*Proposals are meant to be sent out before a quote/job is created and they should be based on a prior conversation you've had with the customer*
Creating a Proposal
Go to any of the Home pages across the top of the screen and click ADD at the bottom of the page and "Proposal"
Select the "Industry"
Select the "Type" (in shop or in field)
Give the Proposal a Title (Optional, but recommended if you create numerous Draft Proposals. This is NOT customer facing)
Select the customer and the vehicle
Enter a message in "Comments" (any default language will come from Preferences > Proposals (see below), but you can include language here specific to this Proposal)
Select any applicable "Documents" by checking the box to include them
Give each Offer a Title...i.e. Good, Better, Best
Click "Products/Services" and make your selection(s) to create your first offer
Click "Add ons" if you'd like to add additional service options with your first offer
IMPORTANT: You can then click "+ Add Another Offer" and go through the same steps that you did in #5-8, OR you can click "Duplicate" to the right of Offer #1
If you click "Duplicate" it will duplicate Offer #1 (including Add ons) and you can make any minor adjustments that would differentiate Offer #2 from Offer #1
You can then click "+ Add Another Offer" or "Duplicate" once again, making any necessary changes to differentiate Offer #3 and so on. You can create as many offers as you'd like.
Click the green checkmark to save and send to customer as either a text or email (you also have the option to save as a Draft and send at a later date. More on Drafts below.).
If you sent it, you'll notice in the "Proposals" tab on the Home screen this will now show as a "Pending" Proposal (sent to customer but they have not acted on it yet)
Customer side when receiving a Proposal
customer receives a "Review and Select" email or text with the Proposal attached
customer clicks to review the offers and selects one, along with any Additional Options
NOTE: customer also has the option to "X Decline All" offers at the bottom of the Proposal
customer will also see any relevant tax, fees & discounts on each offer of the Proposal so they get an accurate total for the job
once they "Select" the offering they'd like to move forward with, the Proposal changes from "Pending" to "Finalized" (both on the Proposal and within Urable)
this action is time and date stamped on the Proposal
you can now go into the Proposal and click "Convert to Job"
*Standard Offerings (Drafts)
Frequently used Proposals that you can create and save as Draft Proposals for many of your services
for ex., Ceramic Coating Standard Offering, PPF Standard Offering, Exterior Detailing Standard Offering, etc.
Instead of creating frequently used Proposals each time, you can simply create them once and save as a Draft with a fake customer and vehicle. Hit the three dots in the upper right corner to Duplicate this and then Swap in the actual customer and applicable vehicle.
Save and send to customer
*Customizing your Proposals
There are several ways to globally customize your Proposals in Preferences > Proposal
Comments - include default information (including hyperlinks or embedded videos) for the customer
Hide line item quantity and unit price - toggle "on" to hide from customer
Allow customers to adjust line item quantity - toggle "on" to allow customer to edit the quantity and thus price
Void a pending proposal - set the time limit dictating when a Proposal is automatically voided
Resend a pending proposal - set the number of times to automatically resend a Proposal and the total number of times to do this (this is an Enterprise-only feature)
Documents - upload any documents to be available to attach to Proposals
*Voiding a Proposal
You can only 'void' a Proposal when it is in the "pending" stage
once you void it, the customer cannot interact with it
it then remains in your "Voided" column in your "Proposals" tab and it serves as an historical reference
you cannot delete a voided Proposal but we can delete it on the back end
You cannot 'edit' a Proposal once it is sent and in the "pending" stage, you must 'void' and duplicate/resend an edited version
Once a Proposal is acted on:
if it is 'Declined' it will just go to your 'Declined' folder in Proposals
if it is accepted but you or the customer later decide to not move forward, you can convert it into a job and then delete
*Including your schedule on Proposals
Here's how to include your schedule on your Proposals so your customers can book themselves:
go to Preferences > Calendar > External
click on "Proposals" in the "Online Booking" section at the top of the page
once your customer receives the Proposal and selects an offer, the schedule will present itself to them to be able to book a time/date
*Notification for Proposals
Receive notification immediately when a Proposal is finalized
go to the Notifications Bell in the upper right of the app
toggle "on" the 'Proposal' notification
make sure your phone also allows for notifications from Urable in your phone settings
you will then receive a notification when a Proposal is finalized or when a comment is added to a Proposal
NOTE:
Bump your Proposals up a notch by including linked or embedded video in the 'Description' field of your services (or within the Comments field), which will in turn be visible on your Proposals
